Job overview

The post holder will provide administrative support to the PFI Team comprising of the PFI Contract & Performance Lead, Assistant PFI Estates Compliance Manager and PFI & Estates Compliance Officer, by actively administering all contractual correspondence including variations, small works and other associated contractual documentation.

The post holder will also be responsible for the effective maintenance of accurate records and archived library systems.

Main duties of the job

The PFI Contract Administrator is responsible for supporting the Trust PFI Team in the monitoring and analysis of the performance relating to the Trusts two PFI Contracts at Royal Blackburn Teaching Hospital (RBTH) and Burnley General Teaching Hospital (BGTH).

 As a PFI Contract Administrator, the post holder will play a key role in processing all associated administration to support a range of functions in developing partnership working with the Trusts PFI partners aimed at enhancing the patient, staff and visitor experience for the organisation.

Detailed job description and main responsibilities

·        Actively administer the PFI correspondence log ensuring all correspondence is accurately referenced and archived.

·        Actively administer the car park data base including monthly reconciliation for payments.

·        Advanced analytical skills and understanding of Microsoft Excel spreadsheets and databases.

·        Attend regular Contract Meetings between the Trust and its PFI Partners at both RBTH and BGTH

·        Full administration of the PFI team email mailbox

·        Attend team meetings and provide full administrative support.

·        Administer a comprehensive suite of all PFI related Policies and Procedures ensuring that version control is applied at all times.

·        Maintain an electronic and paper-based archive of all documentation associated with both PFI contracts.

·        Provide support to the PFI team in conducting any ad-hoc administrative tasks relating to contractual activities such as audits, investigations and projects.

·        Participate with built environmental audits of the hospital including clinical areas.

·        Administer the PFI Corporate Calendar to help ensure the Trust meets all of its contractual obligations.

·        Coordinate meeting arrangements as required i.e. booking meetings and creating / issuing meeting invites

·        Take accurate minutes of all meetings attended and distribute accordingly whilst administering an active archive, accessible to the team.

·        Oversee specific office tasks and systems.

·        Act as point of contact in handling any queries that arise.

·        Identify opportunities in the development of archiving systems and administrative processes in order to provide efficiencies in the administration function of the PFI Team

Experience/Qualifications

Essential criteria
  • RSA 3 Typing/Word processing
  • GCSE English and Math’s, grade C or above or grade 9-4 or equivalent qualification in English and Math’s.
  • A minimum of 6 months secretarial/administrative experience.
Desirable criteria
  • Experience working within senior monitoring teams in an NHS/PFI environment.

Knowledge and Skills

Essential criteria
  • Advanced keyboard skills and analytical skills, understanding of Microsoft Excel spreadsheets and databases.
  • Knowledge of Microsoft Software Programmes Diary Management Experience of taking minutes.
Desirable criteria
  • Willingness to attend various training. Knowledge of Information Communications Technology systems
