Job overview

Based at Royal Blackburn Hospital: To carry out a wide range of administrative, clerical and computer centered duties and provide support for the Medical Secretaries, mainly transcription and production from Electronic Digital Dictation system of clinic letters.

Main duties of the job

The post holder will undertake a wide range of administrative and clerical duties with specific responsibilities, including digital transcription of clinic letters and other correspondence. 

You will be able to demonstrate excellent communication skills and be able to use your own initiative.

Experience of medical audio transcription and medical terminology is essential, as would experience of working in a busy, demanding office role. This is a demanding but rewarding role.

You will need to be calm under pressure and be able to prioritize and manage your workload, sometimes with minimal supervision.

Detailed job description and main responsibilities

1.    Registration and modifications of patient details on the Patient Administration System (Cerner) ensuring that all information input is accurate, up to date and only disclosed to authorized personnel 

2.    Administrating of clinic appointments using the Patient Administration System, ensuring that appointments are allocated within the Government Outpatient’s Waiting list targets and in accordance with the Access, Booking and Choice Policy.

3.    Transcription and production from Electronic Digital Dictation system of clinic letters/ reports etc.

4.    Input and extract data from other relevant software programmes which may be Trust wide or specific (e.g. ICE, Cerner) as and when required.

5.    Establish and maintain efficient office systems, including filing systems and maintain booking out/and booking in system for case-notes. 

6.    Ensure all signed investigations are filed correctly in case notes. 

7.    General clerical duties including filing, faxing, photocopying and answering the telephone.

8.    Ensure stock and stationery is kept at acceptable levels.

GSCE

Essential criteria
  • 5 GSCE Grade A-C
  • Previous Clerical experience
  • Touch typing qualification
  • Numeracy and literacy skills
  • Proven ability to understand and comply with detailed procedures
  • Clear and accurate written/verbal communication and effective listening skills
  • Proven ability to use own initiative and work without close supervision
  • Willing to adapt to the changing needs of the service
