Job overview

The post holder will provide a highly effective and efficient administrative service that provides support to patient related processes including referral management and booking, telephone call handling, data inputting, generating letters and general administrative/clerical duties.

 

The post holder will be responsible for updating and maintaining information recorded on patient administration systems.

Provide booking and management of GP/Consultant led appointments from referral in for treatment and discharge back to their practitioner.  Maintaining and completion of required documentation for appointments.

Detailed job description and main responsibilities

·         Communicate directly with patients, carers and professionals in a sympathetic and sensitive manner regarding appointments, medical issues and queries and ensure that these are passed on to the appropriate clinician if unable to resolve. 

 

·         Support the Team in the production and development of Clinical Guidelines, Policies and Information Leaflets related to phlebotomy service.

 

·         Accurate recording & delivery of messages for all members of the team using identified & appropriate systems.

 

·         Provide booking and management of GP/Consultant led appointments from referral in for treatment and discharge back to their practitioner.  Maintaining and completion of required documentation for appointments.

 

·         Responsible for timely, accurate electronic recording of referrals/requests sent via E mail, ICE, mail etc.  Registering details on Cerner in a timely manner and checking for duplicate referrals for appropriate clinics.  Liaise with appropriate department/external stakeholder for missing information or queries and ensure referrals have been allocated correctly.

Experience & Qualifications

Essential criteria
  • GCSE English Grade C or above or equivalent
  • Previous Administrative experience
  • Previous experience in a customer care environment
  • Ability to accurately input information as given
Desirable criteria
  • Excellent interpersonal and communication skills in order to deal with all disciplines on the telephone using empathy and negotiating skills
  • Previous NHS Experience
