Job overview

The Administration hub work across the Pennine Lancashire footprint to provide Admin support to the Treatment Room and Podiatry services.

The post holder will have an understanding of databases and inputting data. They will also be required to provide clerical support to staff as described in the job description.

 

The post holder, whilst working as part of a team, may be working alone on a reception desk.

 

 

Main duties of the job

1.  To provide a general enquiry and reception service for the team, for

the patients, visitors, and staff.

 

2.  To undertake photocopying and other general clerical duties as required

ensuring smooth running of the office administrative systems.

 

3.  To provide an efficient and effective message taking service in response to all enquiries from patients, visitors, and staff.

 

4.  To deal with all aspects of incoming and outgoing, external, and internal mail.

This includes sorting, re-directing and accurately directing to the correct

department.

 

5.  Use a variety of office machinery/equipment including the photocopier. Deal with any breakdowns with the office equipment and reporting them to the service departments as necessary.

 

6.  Responsible for issuing any aids and equipment as necessary including the building wheelchairs.

 

7.  Provide rapid response to various alarm systems, including nurse calls and accessible WC within the building, following protocols and any further actions as necessary.

 

8.   Deal with complaints from the Service Users, directing the complaint to the appropriate person.

 

9.   Ensure all compliments are recorded and shared with the Manager and staff.

10.   Taking requests for repairs and passing on any requests to appropriate person/department.

11.   To maintain confidentiality in all aspect of the duties.

12.   To undertake any non-routine duties as identified by the line Manager.

Detailed job description and main responsibilities

COMMUNICATION

 

1.          To meet and greet visitors to the department and ensure their appropriate reception

 

2.      Handling of incoming calls (both internal and external) in a clear professional manner

 

3.          Transferring calls to appropriate team member and/or taking messages

4.          Make outgoing calls at the direction of other team members

5.          To use Microsoft Outlook to enable communication to whole team

 

TRAINING AND DEVELOPMENT

 

1.      To attend Trust Mandatory training                                                            

 

2.      To participate in regular reviews and annual personal development reviews to identify training needs.

 

3.      To participate in regular performance review and act on feedback

 

 

  ORGANISATIONAL RESPONSIBILITIES

 

1.      To maintain all records, ensuring that all documents are correctly filed.

    

2.      To maintain confidentiality of the patient, staff, and the Trust at all times, both verbally and written.

 

3.      To be aware of own and other’s responsibilities in the relation to the Health and Safety at Work Act.

 

4.      To use equipment and facilities in a competent and proper manner.

 

5.      To report as soon as practical any hazards or defects and immediately take appropriate action.

6.      Complete IR1’s as appropriate

 

7.      Collect and record information regarding own activities, working hours and mileage submitting this promptly.

 

8.      Collaborate with team members to plan staff rotas, training activities and annual leave efficiently, ensuring baseline cover is maintained.

9.      Promote people’s equality, diversity and rights always ensuring privacy and dignity are maintained.
