Job overview

Applications are welcomed for the post of Administrative Assistant/ Typist to join our dynamic and friendly Neurology Department within the Medicine Division. You will provide Administrative & Clerical support to the Consultants within the department, working closely with our experienced secretarial team. Don’t worry if you don’t have all the medical terminology as this is something we can really help you develop and will stand you in good stead if you want to progress your career in this field. 

The Neurology Department is a very busy and fast paced department providing patient care across East Lancashire. We are looking for enthusiastic, hardworking and adaptable individuals who have an interest in improving patient experience.

 

Main duties of the job

Your work will cover a wide range of duties including dealing with patient queries, post, filing, downloading and typing of clinic & results letters, retrieving information, using electronic patient record system and you must therefore be able to demonstrate a flexible approach to all working relationships.  Your customer service and communication skills and experience will come in great use, as will your organisational skills with attention to detail.

Knowledge and experience of office procedures are of course essential – we don’t want to just throw you in at the deep end so we do want people who know what it’s like to work in an office team environment.  However, as all offices and systems are different, you will receive full training when you start so there will be plenty of opportunity to grow and develop new skills as well as show us what you can do with yours.  The ability to use your initiative and work as a member of a busy team is essential.

Detailed job description and main responsibilities

Download all clinical correspondence according to clinical priority in line with agreed standards of speed and accuracy and within the locally and nationally agreed timeframes.

Promptly file correspondence and investigation results.

Ensure that all correspondence is checked and digitally signed by the appropriate consultant.

E-mail clinical correspondence to GP/originating referrer and send copy letters to patients.

To prioritise own workload appropriately, referring any service concerns to the Team Leader in a timely manner.

Maintain good relationships with members of staff, ensuring a high degree of confidentiality and integrity at all times.

Qualifications

Essential criteria
  • Good general education. GCSE English and Mathematics grade A-C or equivalent expirience
  • Typing qualification or equivalent experience
Desirable criteria
  • AMSPAR
  • RSA 3 Typing Qualification
  • ECDL or equivalent experience

Knowledge and Experience

Essential criteria
  • Efficient use of Microsoft, Word, Excel, PowerPoint, email and intranet
  • Basic knowledge of medical terminology
  • Aware of the concept and application of confidentiality
Desirable criteria
  • Previous admin experience in NHS environment
  • Use of Trust IT packages ie Quadramed , Alma, Evolve
  • Advanced knowledge of medical terminology
  • Recent audio typing experience
  • Experienced and competent minute taking
  • Demonstrate a commitment to continuing personal and professional development
