Endoscopy Scheduler

Job overview
You will work as a member of the Endoscopy service scheduling team and provide an efficient and effective service to all patients who require an Endoscopy procedure. You will liaise with patients to arrange mutually convenient appointments for procedures in line with Trust policy, scheduling and booking patients into both the Trust’s electronic patient record system and Solus Endoscopy systems.
You will ensure any capacity constraints are escalated in line with departmental and Trust policy and maintain up to date electronic records of all inpatient referrals.
Main duties of the job
· To ensure all relevant patients information is accurate and record details of all patient communications and episodes on Harris Flex.
· To add referrals received into the booking office to the appropriate waiting lists, ensuring all sources of information have been recorded accurately and fully to effectively populate the Patient Tracker Lists
· To liaise with patients, nursing, and clinical staff using your own initiative and comprehensive knowledge base to compile endoscopy lists effectively whilst always fully optimising the procedure sessions.
· To ensure that all patient appointments are correctly scheduled and documented on both Harris Flex and the Solus Endoscopy system ensuring patients are booked chronologically and in clinical priority avoiding breaches

Endoscopy services are provided at Lancashire Teaching Hospitals (LTH) NHS Foundation Trust at two organisational sites namely Chorley District Hospital (CDH) and Royal Preston Hospital (RPH). The services form a support service of an integral part of the three key national performance standards namely 18-week referral to treatment time (RTT), cancer waiting time standards and the 6-week diagnostic waiting time standard (DM01). The scheduling team within endoscopy plays an integral role in ensuring patients are booked for endoscopy procedures in a timely manner . The team is friendly, hardworking and well led . |
Detailed job description and main responsibilities
· Ensure all relevant patients information, including GP home address, alternative contact numbers, holiday dates are accurate and record details of all patient communications and episodes are recorded accurately on Harris Flex.
· To promptly action and add referrals received into the booking office to the appropriate waiting lists, ensuring all sources of information have been recorded accurately and fully to effectively populate the PTL’s.
· To liaise with patients, nursing, and clinical staff using your own initiative and comprehensive knowledge base to compile endoscopy lists effectively whilst always fully optimising the procedure sessions.
· To ensure that all patient appointments are correctly scheduled and documented on both Harris Flex and the Solus Endoscopy system ensuring patients are booked chronologically and in clinical priority avoiding breaches
· To ensure that patients are given clear verbal instructions on taking bowel preparation/fasting and stopping medications in preparation for their procedure
· To ensure patients bloods and bowel preparation are in date to safely proceed with their procedure
· To confirm by letter details of patient’s appointments and any pre-admission instructions
· Ability to know when appropriate to refer any issues to Clinicians, Line Managers, Divisional Managers.
· Work in accordance with departmental and trust patient access policies.
· Communicate well with and respond to enquiries from the public, medical personnel, prisons and a wide range of colleagues at all levels across the Trust.
· To book Interpreters
· There is a requirement to speak to patients with reference to their procedures and any issues that they may have and to treat emotionally distressed and anxious patients with sensitivity, dignity and respect and advise where possible the best course of action
· Be confident in liaising with external bodies such as other hospitals, and care homes to obtain the necessary information.
· Always demonstrate an approachable and helpful manner.
· Give guidance and support to colleagues in the provision of an efficient service.
· Deal with any problems/queries in a consistent and timely manner, ensuring that all relevant information is provided to assist in a quick resolution to any problem.
· Always maintain confidentiality as required by legislation and Trust policies.
· Play an active role in the team and contribute to internal/external meetings, supporting and making suggestions for improvements in services.
· Actively participate in the PDP process, undertaking any learning and development opportunities identified and complete all mandatory training,
· Responsible for training new staff in all aspects of the post
· Undertake general supervision of less experienced staff.

Qualifications & Education
Essential criteria
- GCSE or equivalent grade c or grade 4 above in Maths and English
Desirable criteria
- ECDL or equivalent
Knowledge & Experience
Essential criteria
- Experience of working as part of a team and using initiative
- Experience of working under pressure and managing a large workload
Desirable criteria
- Previous NHS experience
- Experience of waiting list management
- Understanding of NHS performance targets
- Knowledge of Endoscopy
Applicant requirements
