Job overview

An exciting opportunity has arisen for a dynamic and enthusiastic administrator to join the Community Neurodevelopmental Paediatric Team at Ashton health Centre.

This post is a permanent part time post working 30 hours per week.

The post holder will assist the support secretaries in providing an effective and efficient support service to clinical teams. The post holder will provide an efficient audio typing service to ensure that clinical correspondence and all associated actions have been actioned to ensure smooth progress throughout the patient pathway in line with clinical requests.

Main duties of the job

You will be responsible for providing daily audio typing and administrative support to ensure the smooth running of the administration services within Community Neurodevelopmental Paediatric Business Unit.

 

You will ensure that all Outpatient Clinic letters are processed using T-Pro Digital Dictation and clinical IT systems and distributed in line with Trust procedures.  Previous audio typing experience is essential.  Full IT systems training and medical terminology support will be provided.

 

You will demonstrate effective team working with colleagues to ensure all work is completed daily.  You will be typing and processing clinic letters in order of clinical priority and working to tight deadlines.

 

You will be a self-motivated individual with proven administration skills.  You will be calm under pressure as this is a busy environment.  You will be communicating with other healthcare professionals via email and telephone.

 

Microsoft Office skills will be essential in managing your workload to ensure tasks are completed in a timely manner.  You will also demonstrate excellent organisational skills, be flexible in your approach, exercise initiative, demonstrate a consistently high standard of professionalism and be aware of the need for confidentiality and integrity.

  • Audio typing of Outpatient clinic letters
  • Use T-Pro Digital Dictation systems
  • Use Harris Flex and Evolve clinical IT systems
  • Organising incoming and outgoing post, referring enquiries to appropriate person if necessary
  • Ordering stationery supplies
  • Responding to external and internal telephone queries from staff, patients and others and referring to appropriate person
  • Communicating with a range of staff and visitors to the Trust / Department utilising a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request

Person specification

Qualifications & Education

Essential criteria
  • Good general education including GCSE English and Maths Grade C or above OR Functional Skills English and Maths Level 2
  • Audio Typing experience
Desirable criteria
  • ECDL or equivalent
  • Audio Typing qualfication

Knowledge & Experience

Essential criteria
  • Aware of the concept and application of confidentiality
  • Previous administrative experience
  • Previous typing experience
  • Proven IT skills in the use of Microsoft programmes
Desirable criteria
  • Previous experience of working in the NHS or a healthcare related setting
  • Knowledge of medical terminology
  • Working knowledge of patient information technology systems
