Job overview

As our new team member, you will play a crucial role in providing essential secretarial and administrative support, ensuring the smooth running of our operations. Your role will involve facilitating effective communication between the clinical team, patients, their families, the public, and other departments within the Trust.

Main duties of the job

 

In this role, you will be responsible for receiving and addressing correspondence related to hospital clinics, ensuring that each piece of communication is handled appropriately and efficiently. Your ability to manage and respond to these correspondences will be crucial in maintaining the smooth operation of our clinic services.

You will also provide essential support to the Performance Manager during periods of high demand or annual leave. This support will involve arranging staff timetables, planning capacity, and managing booking lists to ensure that our operations continue seamlessly. Your organisational skills will be key to effectively coordinating these aspects.

Additionally, you will utilise hospital administrative systems and local computer systems as necessary for your role, ensuring that all processes are streamlined and efficient. Typing clinical letters, including clinic and discharge letters, as well as personal and general correspondence, using Microsoft Word for Windows will also be part of your responsibilities. Your attention to detail and proficiency in these tasks will contribute significantly to the overall effectiveness of the team.

Detailed job description and main responsibilities

·         Be the point of contact for all day to day enquiries from the clerical and clinical team

 ·         Provide support in bookings, Reception and telephone cover as required.

·         Obtain case notes from medical records and other locations as requested.

·         Liaise with medical records, General Practitioners and others as appropriate.

Qualifications and Education

Essential criteria
  • English at GCSE level or equivalent
  • ECDL or equivalent experience
Desirable criteria
  • Medical Terminology Qualification
  • RSA Qualification

Knowledge and Experience

Essential criteria
  • Previous experience in supporting patient pathways
  • Efficient in the use of Microsoft Windows packages including Word, Excel and Outlook
  • Basic knowledge of medical terminology
Desirable criteria
  • Previous experience as a medical secretary
  • Understanding of the outpatient appointment process from referral to discharge
  • Experience of hospital based word processing packages (ALMA)
