Job overview
To be the first point of contact for the Bank office helpdesk, to receive telephone calls and respond to e-mail requests
To provide an efficient, cost effective and co-ordinated solution to temporary staffing requirements for all (non-Medical) groups of staff employed by United Lincolnshire Hospitals
NHS Trust.
To provide support to the HealthRoster Function.
The role will be hybrid with the opportunity for some homeworking. There will be an expectation of office cover to support core business
Main duties of the job
To place staff of all grades and professional groups to cover staffing shortfalls, across the Trust via the computerised Allocate BankStaff Management System.
To liaise with Wards/Departments Matrons/ Site Duty Managers and Head of Nursing & Departments to advise of booked staff and outstanding shift status.
To process Temporary Staffing time sheets, where not processed electronically by individual areas.
To take and process phone and email requests for temporary staff from wards and departments.
To work within NHS guidelines and Temporary Staffing standards and procedures.
To ensure the Helpdesk is fully functional and staffed during opening hours – 07:30– 20:00 Monday to Sunday (including All Bank Holidays)
To identify system or user issues and provide a resolution.
Provide advice to all levels of system users on all aspects of electronic roster creation, including how to maximise the functionality of the HealthRoster system.
To be one of the Trust’s Administrators/Super Users in all aspects of the HealthRoster suite of systems in terms of its functionality and scope as directed by the HealthRoster Specialist.
To monitor and take corrective action relating to hours worked and Working Time Regulations for both Temporary Staffing only and Multi Post Holders.
To advise Temporary Staffing Team Leader of any complaints received from Ward Sisters/Charge Nurses/Departmental Managers concerning the conduct of members of temporary staff

Qualifications
Essential criteria
- Good Level of general education - GCSEs at C or above or equivalent to include Maths and English
- Proficient in the use of a variety of software packages and internet applications
Desirable criteria
- Administration related qualification, NVQ level 2 or equivalent.
- Level 2 word processing / ECDL Computer Literacy or equivalent.
Skills/competencies
Essential criteria
- Excellent interpersonal and communication skills.
Desirable criteria
- Ability to present complex information to a variety of audiences, verbally and in written reports.
Knowledge
Essential criteria
- Working knowledge in the use a variety of software packages incl. MS Access; MS Excel and MS Word
Experience
Essential criteria
- Experience of working in a busy and demanding office environment.
Desirable criteria
- Experience of working in the NHS and an understanding of Nursing/AHP & A&C grades.
- An understanding of the health roster applications, its functions and requirements.
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
