Job overview

This post can be carried out from any of our ULTH Main sites at Boston Pilgrim, Lincoln County or Grantham Hospital.

Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources. The Medical Secretary is pivotal in achieving effective patient administration.

Main duties of the job

Deal with urgent and routine correspondence and tasks in accordance with agreed practice and CQUIN standards including transcription  from digital dictation,  for the Consultant’s team, which may include outpatient reports,  operation notes and other relevant clinical and non clinical correspondence. 

Maintain accurate 18 week referral to treatment (RTT) pathway for patients. Following validation be responsible for accurate and timely recording, reporting exceptions to senior personnel

Works with Choice & Access to arrange clinics cancellations, ensuring clear instructions are given to re-appointing patients, escalating capacity issues to the Specialty Co-ordinator.

Open and prioritise correspondence on behalf of Consultant ensuring that urgent correspondence receives prompt attention. 

Ensures patient pathways are updated to minimise validation and data quality issues. When required will assist in the validation of patient pathways working with the Specialty 

Receive, manage and prioritise telephone and personal enquires, complaints, messages and information from patients, relatives, General Practitioners, Consultants and other medical staff and external organisations on behalf of Consultant and clinical team. 

Manage patient investigation results.  Responsible for chasing up missing results. Maintain systems for monitoring and retrieving outstanding investigations. Maintain Consultant’s diary.

United Lincolnshire Hospitals NHS Trust has been granted teaching hospital status, after demonstrating evidence to significant teaching commitment.  From now on it will be known as United Lincolnshire Teaching Hospitals NHS Trust.

Lincolnshire Community Health Services NHS Trust (LCHS) and United Lincolnshire Hospitals NHS Trust (ULHT) have come together in a Group arrangement, with the goal of improving the care provided to patients across the county.

 

This will not constitute a formal merger of the two organisations, but will bring the Trusts together under a single Board and Executive Leadership Team, with the goal of improving the care that is provided to patients both in the community and in hospitals across Lincolnshire. Qualifications

Essential criteria
  • Typing and or Word/Text Processing Skills
  • Audio Typing Experience
  • Proficient in English both written and oral even if not your preferred language
  • Text Word processing & audio skills to RSA II or equivalent.
Desirable criteria
  • GCSE or other equivalent qualification in at least four subjects that include Mathematics and English.
  • Business Admin NVQ II or equivalent or willing to work towards this while in role
  • AMSPAR – Medical Terminology Certificate

Experience

Essential criteria
  • Previous experience in office environment.
  • Diary Management
Desirable criteria
  • Experience of working in a large healthcare organisation
  • Some knowledge of Careflow system
  • Some knowledge of 18 week RTT

Knowledge

Essential criteria
  • Ability to complete tasks accurately and efficiently.
  • Ability to work on own initiative and prioritise workload to achieve deadlines.
  • Good written and verbal communication skills. Ability and confidence to communicate at all levels.
  • Competent Microsoft Office User
  • Knowledge/Awareness of key values and behaviours in line with the Trust framework
