Senior Configuration Analyst

Job overview

A fixed-term role, covering maternity leave, has opened within our Digital Health Epic Connect EPR team, across The Royal Marsden and Great Ormond Street Hospitals, for a Configuration Analyst. Previous experience with Epic is preferred and a background of hardware or clinical device setup/deployment would be an advantage. 
 
The core duties of this role will be working with other analysts to update and build end user device workflows within the Epic digital health record system and to liaise with clinical and operational teams to understand their needs, both within the Connect programme and the wider Epic community to help us provide the optimal DHR system for both organisations.
 
Our team works flexibly with a combination of remote and office based working days. The successful candidate will be required to travel to all sites at Great Ormond Street Hospital and The Royal Marsden Hospital sites (Bloomsbury, Chelsea and Sutton). The successful candidate would be well supported by an experienced team and line management structure.

Main duties of the job

As a Digital Health Record (DHR) Configuration Analyst the post holder is responsible for:  
•    Assisting with the delivery of the Trust’s DHR system within the End User Devices team  
•    Gaining a DHR qualification through successfully completing the DHR training programme within a specified timeframe  
•    Working in partnership with our partners, Great Ormond Street Hospital and Epic  
•    Matching agreed workflows with those already built into the DHR system and/or configuring the DHR system using configuration tools to tailor the system  
•    Analysing and suggesting ways to improve current workflows and working practices  
•    Assisting with testing of the systems to ensure it is safe, usable, secure and robust

Detailed job description and main responsibilities

•    Main duties and responsibilities: Analyse and document routine clinical and administrative workflows, information, data collection and/or reporting requirements. 
•    Maintaining the printers and workstations data within Epic and troubleshooting any issues reported by end users.
•    Testing and roll out of Epic thick clients for monthly patching.
•    Investigate end users’ preferences and populate databases as part of the configuration process.  
•    Be an expert in the End User Devices area, troubleshoot problems and address questions from end users regarding the application.  
•    Ensure that the DHR system is configured to meet new ‘best practice’ ways of working, in order to achieve cost-saving benefits and improved workflow processes, whilst working to relevant legal and regulatory frameworks and seeking assistance from the Senior Configuration Analyst or Configuration Manager when required.
•    Log issues as they arise and update administration systems accordingly. Liaise with colleagues and the supplier to achieve resolution and escalate unresolved issues through the Senior Configuration Analyst or Configuration Manager as appropriate.  
•    Chase colleagues and Trust staff to provide information in a timely fashion to enable deadlines to be met.   
•    Propose and implement changes to working practices and encourage and advise Trust staff to accept these changes to improve efficiency, patient flow and/or patient experience.  
•    Report configuration progress on a weekly basis to the Configuration Manager.  
•    Work with the report writers in the Configuration Team and the Reporting Team to ensure the application produces all reports required by the department.  
•    Maintain regular communication with other configuration teams and relevant supplier staff.  
•    Work with Principal Trainers to ensure awareness of build development and changes.  
•    Work with Principal Trainers to incorporate feedback from training sessions into future developments or make urgent changes to build as appropriate.  
•    Be responsible for own area of work, working autonomously to plan and organise workload to meet multiple and often conflicting deadlines.

Education / Qualifications

Essential criteria
  • Educated to degree level or equivalent experience
  • Maths and English GCSE grade C or above or equivalent qualification
  • Post graduate qualification or equivalent relevant experience
  • Continuing Professional Development
Desirable criteria
  • IT qualification in MS Office or equivalent experience

Knowledge & Experience

Essential criteria
  • Understanding of clinical, administrative and/or operational workflows and processes within a hospital environment
  • Previous NHS experience
  • Knowledge of medical terminology
Desirable criteria
  • Operational or clinical knowledge of a specific area including knowledge of relevant operational policies and procedures
  • Experience of supporting change management
  • Understanding of Information Governance
  • Experience of Epic or other DHR configuration

Skills Abilities / Knowledge

  • Excellent organisational and planning skills
  • Excellent written and verbal communication with the ability to communicate with staff at all levels in the organisation, including clinical staff and managerial staff as well as with external suppliers
