Job overview

Elective Admissions Coordinator

The post holder will work as part of the elective admissions team to provide a high-quality, patient-focused admissions and booking service. The role involves coordinating elective admission pathways from referral to treatment, ensuring patients are booked in line with Trust Access Policy and national waiting time standards. 

This is a busy and varied role requiring excellent organisational skills, sustained concentration, and the ability to manage competing priorities in a frequently interrupted environment. The post holder will regularly handle sensitive and confidential information and must communicate effectively and empathetically with patients, relatives, clinicians and a wide range of internal and external stakeholders.

The Elective Admissions Coordinator will work with a degree of autonomy, using initiative and judgement to manage waiting lists, resolve booking issues and escalate concerns appropriately. Close liaison with consultants, service teams, theatre teams, pre-operative assessment and support services is essential to ensure efficient use of theatre capacity and a positive patient experience.

The role will range from booking patients for preoperative assessment and surgery/treatment post out-patient clinics, handling GP and patient queries and monitoring admitted waiting lists. The post holder will be expected to work without direct supervision and will be expected to liaise and communicate as appropriate.

All elective procedure appointments are booked with patient agreement and the post holder will need a flexible approach to ensure that booking processes are implemented, adhered to, maintained and improved.

Main duties of the job

·         Ensure that operating lists are booked appropriately six weeks ahead and that theatre time is maximised and fully utilised.

·         Escalate under-booked/under-utilised lists at least two weeks ahead to the Elective Admissions Team Leader / Theatre Service Manager.

·         Maintain Consultant Waiting Lists in line with the Trust’s Access Policy.

·         Regularly review the admitted waiting list (admitted PTL) to determine the sequence of patients to be booked, adhering to the rules of the 18 week patient pathway.

·         Ensure all patients are booked in line with the appropriate access standards for routine and urgent/USC patients i.e. before their breach date, escalating to the Elective Admissions Team Leader / Theatre Service Manager where this is not possible.

·         Attend weekly theatre scheduling meetings for the relevant specialties/theatre lists, completing actions agreed in the meeting in a timely manner.

·         Ensure all TCIs (to come in dates) are confirmed verbally with patients and that patients are provided with written confirmation of the procedure date/time.

·         Ensure patients are verbally contacted, issued written TCI confirmations, and receive SMS notifications and reminders in line with agreed standards and pathways.

EDUCATION AND QUALIFICATIONS

Essential criteria
  • GCSE Level Maths and English (Grade AC) or equivalent.
Desirable criteria
  • A Level or equivalent qualification

KNOWLEDGE AND UNDERSTANDING

Essential criteria
  • Good knowledge of Microsoft products – Word, Excel, Access and PowerPoint
  • Ability to understand and analyse waiting time data
Desirable criteria
  • Good knowledge of a range of database tools including Patient Administration System (PAS)
  • Knowledge of Cerner
  • Infoflex experience or similar

EXPERIENCE

Essential criteria
  • Experience of working in an administrative capacity
Desirable criteria
  • Experience gained within a hospital role
  • Experience of similar role, ie cancer services, tracker, clinic coordinator
  • Experience of working in Gynaecology

SKILLS/ABILITIES

Essential criteria
  • Communication Skills: The ability to communicate verbally in a polite, clear and effective way, both face to face and on the telephone
