Join the Integrated Learning Disabilities Service (ILDS) as our Health Administration Manager, where your expertise will directly support the delivery of high-quality care to individuals with learning disabilities.

Main duties of the job

- Overseeing the performance and development of health administration staff across ILDS.

Detailed job description and main responsibilities
As Health Administration Manager, you will lead the administrative function within the Integrated Learning Disabilities Service (ILDS), ensuring high standards of service delivery and operational excellence. Your core responsibilities include:
- Lead and support the Psychiatry team to deliver responsive, high-quality services.
- Provide day-to-day management of medical secretaries and administrative staff, ensuring smooth operations and adherence to best practices.
- Oversee and monitor data quality targets, including timely and professional communication via letters, phone, and email.
- Deliver operational support that meets service standards and budget requirements, while continuously identifying opportunities for improvement.
- Ensure comprehensive secretarial and administrative support to clinical teams across ILDS.
- Line manage administrative staff, including supervision, appraisals, leave and sickness management, and ensuring consistent service coverage.
- Allocate and prioritise workloads to maintain service standards and responsiveness.
- Liaise with the London Borough of Enfield to ensure effective reception services and task coordination.
- Respond sensitively and professionally to enquiries from clinicians, consultants, GPs, service users, carers, and the public—often in emotionally charged or challenging situations.

Essential criteria
- NVQ Business Administration level 3 or equivalent or relevant practical experience
- GCSE standard in English and Maths
Desirable criteria
- City & Guilds / AMSPAR medical administration diploma or equivalent medical secretary experience
- Knowledge of Healthroster
Skills/Abilities
Essential criteria
- Excellent knowledge and proficiency of Microsoft packages to include Word, Excel, PowerPoint, Outlook
- Ability to communicate with people with learning disabilities, and with families/carers and professionals in relation to clients whilst maintaining client confidentiality.
- Ability to work in a flexible and organised manner, to prioritise own workload and the workload of others and meet deadlines.
- Ability to work effectively under pressure with interruptions.
- Ability to communicate effectively with clear, concise verbal and written communication skills.
- Ability to maintain confidentiality appropriately and understand the issues involved
- Keyboard skills to ensure accuracy, speed and optimum use of functions
- Ability to work on own initiative within the remit of the job description
Experience/Knowledge
Essential criteria
- Previous management or supervision of staff.
- Experience of organising and managing an admin service,
- Ability to work with HR policies and procedures
- Working with Multidisciplinary teams
- Experience of dealing with members of the public both face to face and on the phone.
- Handling confidential and sensitive information in accordance with the Data Protection Act
- Knowledge of relevant Trust policies and procedures
Desirable criteria
- Previous NHS experience
- A knowledge of health and social care provision for people with learning disabilities and autism.
