Job overview
The Senior Booking Coordinator will work as part of the Temporary
Staffing Bookings team, providing a high level of support and assistance in ensuring key activities are undertaken in an efficient and effective manner.
The postholder will be responsible for overseeing and undertaking all
aspects of the booking service, including all Bank and Agency bookings
(and actively working to ensure agency bookings are within the NHS
agency rules, and are approved in line with the Group’s approval process).
The postholder will be expected to maintain efficient administration in
these processes and ensure accurate recording of all data. They will offer
a customer-based approach at all times, liaising with all clinical areas, Staff Bank registrants and where necessary, external agencies.
The postholder will be expected to provide support and training to
colleagues within the Temporary staffing team, under the direction of the
Temporary Staffing Operations Manager.
Main duties of the job
Key duties
1. To work with the team to coordinate the booking of all shift requests for temporary staffing, working to agreed timeframes and standard operating procedures, ensuring appropriate authorisation has been
given.
2. To ensure that wards/units comply with Group policies and procedures when booking temporary staff, including outside of core business hours, and to highlight any non-compliance to the senior Temporary Staffing management team.
3. To ensure that all advanced bookings and short-term bookings from clinical areas are appropriately entered onto the electronic system, ensuring that there is confirmation of bookings being received as
per the agreed rules and procedures.
4. To work collaboratively with the wider team to ensure appropriate planning and cover for the team.
5. Support the Temporary Staffing Operations Manager in the product change development and design of the electronic booking system, including times at which the systems are upgraded.
6. To monitor issues related to working time directives, particularly substantive staff who undertake bank shifts.

Experience
Essential criteria
- Extensive experience in an administrative role
- Experience of working in a customer focussed first line support role
- Experience of working in a large and complex organisational environment, either in the public, private or voluntary sector
- Experience of being able to balance competing priorities and achieving organisational targets
Desirable criteria
- Experience of working for an NHS Group
- Experience of working in a Temporary Staffing team
Qualifications and Training
Essential criteria
- Educated to A Level or equivalent knowledge gained through experience
- Evidence of equivalent relevant professional work experience and continuing professional development

- Proficient in the use of Microsoft Office applications, such as Excel to an intermediate level and manipulate data sets into a presentable format
- Effective customer care skills

- Ability to effectively communicate clearly both verbally and in writing, to all levels of staff
- Ability to deal assertively with difficult situations
- Ability to pay close attention to detail and accurately complete tasks
