Job overview

An exciting job opportunity has popped up in the City and Hackney Directorate for a full-time band 3 receptionist/admin assistant position, working 37.5 hours a week. This is a permanent role, and we’re on the lookout for someone who’s super motivated and eager to jump into a busy and challenging environment. As a receptionist/admin assistant, you'll be the first point of contact at a bustling reception, providing support to service users and the Multi Disciplinary Team.

Main duties of the job

To receive all incoming calls to the Service and deal appropriately in a courteous and helpful manner.

To deal with a range of queries from the public and other agencies in a polite and helpful manner, whilst working in reception also by telephone and face to face encounters, seeking advice and guidance from colleagues, Lead admin or Operational Manager.

To ensure that all incoming post is date-stamped and distributed to the appropriate person and that out-going mail is sorted according to internal, external departments and relevant agencies.

To take and promptly pass on accurate notes and information, exercising independent judgement and discretion when handling, monitoring and filtering calls within data protection, customer care and confidentiality guidelines.

To ensure that calls from anxious and distressed patients and carers are dealt with appropriately and referred to the correct system internally.
To manage the diary and appointments system and inform clinicians of their appointment arrivals.

To check patients demographics are accurate and update Rio accordingly.

To collate service user feedback and upload manual response electronically.


To co-ordinate and oversee room, interpreter bookings and report any problems as appropriate.
To coordinate maintenance log and follow up job with relevant Estates department.
