Job overview

The ward administrator is responsible for providing a front-line reception service to the ward and for delivering a high standard of customer care to a wide range of teams , including the ward’s multi-disciplinary team, patients, relatives and their carers.

Barnet Hospital 37.5 Hours per week (7.5-hour shifts, Monday to Friday – you may be required to work some weekends/Bank Holiday - working within a rota) We are looking for someone to work as a ward administrator, within a busy clinical area at Barnet Hospital. You would be responsible for providing a front-line reception service to the ward by delivering a high standard of customer care to a wide range of client groups including: the ward’s multi-disciplinary team, patients, relatives and their carers.

To fit the needs of this role you would need to be able to:
• Learn systems and processes effectively
• Work as part of a team within a busy and complex environment
• Problem solve, and prioritise multiple competing demands (e.g. ensuring that all patient admissions, discharges and attendances are recorded accurately)
• Play a proactive role in collecting, investigating, verifying and recording a high standard of patient demographic and treatment data
• Work flexibly within a rota to meet the needs of the service: e.g. the rota may require you to work 7.5 hour per shift as a 08:00 -16:00 you may be required to work weekends and Bank Holidays.

 

Main duties of the job

To provide a front of house reception service for patients or relatives arriving on the ward/unit, welcoming all visitors and directing as appropriate.  

Answering telephones, ensuring bed boards are up to date, transport bookings, to provide weekly and monthly ward activity figures, to provide a confidential and high standard general administrative support to the ward/unit, to ensure that all patient admissions, discharges and attendances are recorded accurately on Cerner or the relevant electronic system in real time, to sort out incoming/outgoing post and distribute or act as necessary and any other ward clerking responsibilities.

  • NVQ Level 3 or Equivalent
  • Experience with working with Cerner or similar electronic Patient Administration Systems
  • Ability to use initiative and problem solve, in a busy clinical environment
  • Clear concise verbal and written communication skills
  • Good level of computer literacy skills in Microsoft Word, Excel and data bases
  • Flexible and adaptable to the changing needs of the service
  • Ability to manage conflict and identify where escalation to senior staff is necessary
  • Excellent interpersonal skills with the ability to relate to people at all levels
Desirable criteria
  • Previous work experience in a healthcare setting
  • Prepared to learn new skills
  • Excellent customer care skills, including ability to use judgement, tact and diplomacy
