Our hospitals and community sites provide a wide range of inpatient and outpatient services, as well as emergency and planned care. The Trust is rated as “good” or “outstanding” in over three-quarters of the services inspected by the Care Quality Commission.

Job overview

The Dermatology service at University Hospital Lewisham is seeking a part time member of the administrative team (30hrs per week) to provide comprehensive and proactive administrative support to the Dermatology Department, with a particular focus on  supporting the biologics and phototherapy services. Responsibilities include maintaining accurate patient records, ensuring clinics are fully utilised through the effective booking and rescheduling of appointments, and coordinating Dermatology Nurse-Led activities. The role also involves supporting secretarial functions when required, contributing to the smooth and efficient running of the department.

Main duties of the job

  • To arrange outpatient appointments, using Trust systems, confirming, cancelling, and changing appointments as necessary
  • To be responsible for the scheduling of outpatient appointments according to clinical urgency and length of wait in accordance with departmental procedures and Trust policies 
  • To ensure nurse-led clinics are fully utilised.
  • To ensure that patients are appropriately reminded of their appointments
  • To be a point of contact for patients’ queries, communicating in a friendly and professional manner, both via email and telephone
  • To administrate the biologics service, keeping accurate records, ensuring patients prescriptions are signed by clinicians and sent to the pharmacy team in a timely manner.
  • To support other administrative functions within the department when needed such as, booking dermatology procedures or typing letters
  • To answer telephone queries from patients and other members of the public
  • To undertake any general office responsibilities including collection and distribution of post, sorting of incoming post into department
  • To participate in department development as appropriate and participate in departmental meetings
  • Undertake any training as required to complete the tasks associated with the job role

Detailed job description and main responsibilities

A key part of the role will be to ensure that nurse-led clinics are fully utilised and that patients are appropriately reminded of their appointments.

They will also provide administrative support for the biologics service, maintaining accurate records, ensuring that prescriptions are signed by clinicians, and forwarding them to the pharmacy team in a timely fashion. In addition, the post holder will support wider administrative functions within the department, such as booking dermatology procedures and typing letters.

Further responsibilities will include answering telephone queries from patients, as well as carrying out general office duties such as collecting and distributing post and sorting incoming correspondence within the department. The post holder will also be expected to participate in departmental development and meetings, and undertake any training required to fulfil the tasks associated with the role effectively.
