Pharmacy Clinical Trials Finance Support Officer – Band 5 (Fixed-Term)

Are you seeking a new challenge? Do you want to work for one of the most research active NHS Trusts in the country and play an important role in improving the health and quality of life of patients?

We are looking for a motivated and enthusiastic individual to join our pharmacy clinical trials team. You must be reliable, methodical and show exceptional attention to detail.

Main duties of the job

This is a fixed-term six-month contract with the focus being to support the team with the management of clinical trial pharmacy financial services, including invoicing and income recovery. Previous experience in an office environment is essential along with a background in financial management, preferably within the NHS.

The role is full time, Monday-Friday. Full training and development opportunities will be provided.

Although this position is a 6 months fixed-term contract, the actual contract duration will be adjusted to account for the time taken to advertise the post, complete the hiring process, and finalise pre-employment checks. This means the contract will begin when the candidate starts the role and may be slightly shorter than 6 months

Qualifications

Essential criteria
  • • GCSEs grades A-C/4-9 in English, Maths and Science
  • • Undergraduate degree Level 5 or equivalent experience
Desirable criteria
  • • ILM Level 3 Leadership and Management qualification or equivalent
  • • Project management, e.g. PRINCE2 or AGILE
  • • Quality Improvement training

Experience

Essential criteria
  • • Previous office experience e.g. purchasing/stores (ordering, invoice reconciliation, or other finance work) - preferably within NHS
  • • Use of Datix incident reporting system or equivalent
  • • Updating, Reviewing and implementing SOPs for Pharmacy and other areas
  • • Participation in or contribution to audit work
Desirable criteria
  • • Previous experience with pharmacy clinical trial finance
  • • Experience of implementation of quality improvement projects

Knowledge

Essential criteria
  • • Understanding of stock control systems
  • • Understanding of the importance of adherence to SOPs and legislation
  • • Understand customer care issues
  • • Good working knowledge of MS office packages, particularly Excel and Word
  • • Knowledge of filing systems and office procedures
  • • Understanding of relevant legislation, e.g. Health and Safety, GDPR, Data Protection
  • • Good understanding of the management of High- Cost Drugs
Desirable criteria
  • • Knowledge of clinical trials and pharmacy systems
  • • Understanding of the regulations relating to managing people

Essential criteria
  • • Excellent verbal and written communication skills, including ability to communicate complex (financial and prescription) information effectively with other healthcare professionals e.g. specialist pharmacists/ nurses, finance staff and external stakeholders e.g. clinical trial sponsors, to resolve invoice queries
  • • Able to perform basic calculations
  • • Ability to plan, prioritise and organise own workload to meet organisational requirements and financial deadlines
  • • Ability to make judgements when dealing with queries and to take appropriate decisions
  • • Aware of limits and when to ask for advice/ refer on
  • • Good interpersonal skills
  • • Ability to understand internal controls
  • • Ability to organise and maintain appropriate filing systems (computerised and paper based)
  • • Ability to accurately input financial and prescription data into computerised and paper-based systems
  • • Ability to be trained to use Pharmacy and other computer systems (e.g. EDGE, Oracle) to record, retrieve and transmit data
  • • Ability to work flexibly under pressure as part of a busy team, and on own initiative to prioritise and achieve deadlines
  • • Ability to concentrate for significant periods of time when checking orders, prescriptions, invoices etc., resolving queries and inputting data on computer systems
  • • Advanced IT skills in Teams, databases, excel
  • • Excellent oral and written communication skills and able to clearly present complex and sensitive information in an appropriate way
