ADMINISTRATOR - within our restructured Hospital Division MDT Services

An opportunity has come up within our  restructured Hospital Division for a full-time Band 4 Clinical Administrator to support our In-Patient wards.

 

Main duties of the job

The successful candidate will work closely within the multi-disciplinary team, ensuring that effective and efficient administration support is provided.

You must be experienced, dedicated, reliable, proactive, and a flexible individual who is assertive and take the initiative in anticipating the needs of their teams. 

You should be able to work autonomously as well as part of a team.  Along with being able to demonstrate good verbal and written communication skills. 

It is essential that you have experience in minute-taking  and using  Excel to intermediate level, along with good attention to detail.

We provide services for adults of working age, adults with learning difficulties, and older people in the London area. We currently deliver the majority of our care to residents in the London Boroughs of Camden and Islington. However, we also provide substance misuse services in Westminster, and a substance misuse and psychological therapies service to people living in Kingston. Detailed job description and main responsibilities

Some of the key tasks in this role will be:

  • To maintain and submit key performance data within strict timelines
  • Distribution of documentation to GPs against set standards
  • Data entry on our Electronic Patient Records (EPR) system
  • To support Business/Team Meetings (preparing agendas, taking and distribution  of minutes)To provide support with/lead on audits
  • Procurement
  • General administrative functions

Qualifications

Essential criteria
  • Evidence of good general education to include GCSE or Equivalent in Maths and English. HNC Level in Administration or equivalent experience within an admin environment Recognised medical secretarial qualification e.g., RSA3 or equivalent knowledge and experience
Desirable criteria
  • Interest in continuing professional development

Skills/Abilities

Essential criteria
  • Diary Management
  • Use of MS Office Software to intermediate level, to include Excel, Outlook and PowerPoint.
  • Accurate entry and retrieval of information on database systems.
  • Good communication skills, both verbally and in writing
  • Proven ability to allocate work systematically and prioritise workload
  • Ability to work in a challenging environment and as part of a team
  • Ability to work on own initiative and be proactive in problem-solving.
  • Ability to work flexibly to meet competing demands of the service

EXPERIENCE/ KNOWLEDGE

Essential criteria
  • Substantial experience in a secretarial/administrative role
  • Experience of servicing/minuting meetings
  • An understanding of Equality, Diversity and Inclusion
  • An understanding of relevant legislation e.g. Health and Safety, Data Protection and Confidentiality
  • Experience of working within a Multi-disciplinary team (MDT)
Desirable criteria
