Job overview

London Pathways Partnership (LPP) is a consortium of five NHS Trusts co-delivering a pan-London service for the Offender Personality Disorder (OPD) Pathway alongside Probation Service London (PSL) colleagues. The OPD Pathway programme provides services to men and women with complex psychological difficulties and serious offending histories, and to the multi-agency professionals working with them.

The post holder will provide full administration support to London Pathways Partnership LPP community pan-London services: Involvement & Inclusion (I&I), Workforce & Development, and Women’s Pathway Service. They will work closely with the Forensic and Oxleas Admin Team Leads to provide an efficient and responsive administrative service to the Team. 

Main duties of the job

The post holder will provide a comprehensive administrative service to the Involvement & Inclusion (I&I), Workforce & Development, and the Women’s Pathway Service, including creating meeting minutes, processing referrals, data reports, invitations and correspondence and other administration in support of a 'paper light' office. 

The post requires the ability to work flexibly on own initiative and to liaise effectively with a broad range of professions and service users and to maintain client confidentiality.

The role will be based in central London and involves working from different locations including open plan settings where service users are present and some travel to sites across London. The candidate will be required to work alongside and to cover, when appropriate, other administration staff across several locations in some instances.

Detailed job description and main responsibilities

  1. To provide a comprehensive administrative service to the Involvement & Inclusion (I&I), Workforce & Development, and the Women’s Pathway Service, including processing referrals, reports, correspondence, documentation, and related electronic filing, photocopying and scanning.
  2. To minute meetings and update action logs.
  3. To type correspondence when required.
  4. To maintain office filing systems and ensure information relating to service users is accessible to relevant staff, ensuring confidentiality at all times.
  5. To maintain a standard filing system ensuring that the filing of service users notes, correspondence, questionnaires etc are kept up to date in line with record keeping policies
  6. To book interpreters and translators for clients’ appointments and monitor confirmation of bookings and action as appropriate.
  7. To ensure there is an adequate supply of all forms and adequate stationery supplies, letterheads, information leaflets etc available for colleagues and service users.
  8. To coordinate the collection of and update of service user information on files, (e.g. Ndelius), and on the Team database systems ensuring data quality is monitored and any concerns raised.
  9. To undertake general office duties including photocopying, collating and binding of documents, filing, laminating, scanning etc as required.
  10. To provide administrative support to the Team for presentations including setting up of equipment, providing handouts and refreshments as appropriate.

  • English GCSE Grade C or above
  • Arithmetic GCSE Grade C or above
  • Evidence of CPD

  • NVQ or above in Business Administration or equivalent
