Job overview

The Personal Assistant provides vital administrative support to Senior Management and Medical Teams within the Radiology Department, ensuring smooth and efficient operations.

This role involves managing complex diaries, coordinating meetings, and handling sensitive communications with professionalism and discretion, often involving confidential patient information.

Strong organisational skills and the ability to prioritise competing demands in a fast-paced, high-pressure environment are essential. The PA liaises effectively with doctors, GPs, and external agencies, and works confidently both independently and as part of a diverse team.

Key qualities include confidence, credibility, and the ability to inspire trust, alongside a commitment to continuous personal development. The ideal candidate is enthusiastic, innovative, detail-oriented, assertive, and reliable, with a friendly personality and a smart, professional appearance.

 Additional duties may be assigned as appropriate to the role’s banding, ensuring the Radiology team can focus on delivering excellent patient care.

Main duties of the job

  • To act as first point of contact for patients and members of the general public seeking information and support from the hospital.
  • The post holder must be able to triage the calls appropriately, as well as deal sympathetically with people who may be bereaved, distressed or angry using tact, persuasion and discretion. Assessing priorities and initiating action as required.
  • To provide patients with appropriate information relating to their hospital appointment / procedure.
  • To provide an agreed level of general and clinical information relating to tests and investigations.
  • Analysing problems and finding solutions as well as using judgment to know when to pass the caller on to a member of the clinical team.
  • To be able to arrange Outpatient and Inpatient appointments and investigations for patients where appropriate (this may involve booking multiple tests and information for this action may come from various sources).
  • Ensure that patients are informed accordingly.
  • Work closely with the wider Imaging Directorate to ensure a smooth and timely transfer of patient notes/records, scans between trusts and from GPs through the patient pathway.
  • To liaise with external agencies including other hospitals and General Practitioners and provide reports/results where appropriate.
  • To liaise with other departments (clinical and administrative) within the Trust and take action where appropriate.

Education

Essential criteria
  • A Level, NVQ3, equivalent qualification or equivalent experience.
  • O’ Levels/GCSE in English/Maths.
  • Formal Customer Care Training or willingness to undertake AMSPAR or equivalent experience

Experience

Essential criteria
  • Previous experience of being a PA or medical secretary to hospital consultant.
  • Previous NHS experience required
  • Knowledge of hospital Patient Administration System (PAS).
  • Previous experience of dealing with patient’s appointment and booking system.
Desirable criteria
  • Prior experience of working in a healthcare environment
  • Experience of using a Radiology Information System (RIS).
  • Knowledge of NHS waiting and booking targets.

Skills

  • Excellent written/verbal communication skills
  • Excellent interpersonal skills.
  • Ability to work within a team as well as independently with a professional approach towards work and colleagues
