Job overview
The purpose of this role is to provide effective and efficient clerical, reception and administration support within the Paediatric Audiology Department ensuring that administration processes meet the needs of all service users. The post holder will be expected to use their own initiative and work independently often without supervision
The post holder will work alongside other members of the Paediatric Audiology Department reporting to the Service Delivery Manager. They will liaise with the Paediatric Audiology Co-ordinator, Service Delivery Manager, and Head of Audiology Services providing help and support where necessary. They will work closely with patients and relatives, the main Audiology Department, Satellite clinics, Hospital Wards, The New-born Hearing Screening Service, Education Services, Social Services, GP surgeries, Health Visitors, other hospital departments and other NHS Trusts. In addition to ensuring good communication with external hearing aid companies and earmould manufacturers used by the service.
Main duties of the job
To ensure that all patients and visitors are welcomed to the department, ensuring that customer codes of conduct are followed.
To provide an efficient reception service, including answering the telephone and dealing with enquiries from patients, patient’s families, GPs, other departments and manufacturers in a calm and polite manner and in accordance Trust policy.
To ensure the department complies with local and national targets when cancelling and booking appointments.
To be responsible for the maintenance and input of demographic and appointment data.
To ensure all Paediatric Audiology patients are checked in and out correctly on AuditBase and Cerner.
To provide administration support and secretarial cover for the Audiological Physician and service manager.
To provide administrative support for the Audiologists when appropriate.
To follow departmental protocols and be responsible for suggesting improvements to own working practices.

EDUCATION
Essential criteria
- Minimum of A-Levels or equivalent knowledge/ experience
Desirable criteria
- NVQ II Customer Care or equivalent
SKILLS/ABILITIES
Essential criteria
- Competent use of IT systems – Excel, Word, & dbase input.
- Ability to work without supervision and using own initiative
- Ability to manage own workload, and multi task. Planning and organisational skills to include prioritisation of work according to departmental requirements and ability to resolve problems.
Desirable criteria
- Previous experience of using Cerner or equivalent PMS
EXPERIENCE
Essential criteria
- Experience of work in an office/ reception and customer care experience.
Desirable criteria
- Previous experience in NHS
