Job overview

The post holder will provide and effective administrative service for the Respiratory service, working closely with a range of staff across the organisation and external Trusts.  This is a busy role with lots of variety and frequent ad-hoc demands. The post-holder must possess excellent levels of communication, self-motivation, diligence, attention to detail, and a flexible approach to working.

Main duties of the job

The post holder will support the coordination of care for lung cancer patients through their cancer pathway. A key aspect of the role involves daily and direct (e.g. face to face and telephone) communication with patients, relatives, carers, and other health and social care professionals. The information and nature of the communication required is sensitive due to the nature of cancer. Communication in this context requires a high degree of empathy, understanding, diplomacy, honesty and integrity.

Detailed job description and main responsibilities

Main Duties and Responsibilities

Patient Navigation

  • To be the first point of contact for patients or carers of patients referred to and already on the lung cancer pathway.
  • To pro-actively navigate lung cancer patients along their care pathway and to ensure they are treated within cancer waiting time targets.
  • To attend Outpatients clinics and support patients and carers whilst in clinic, signposting to other services such as diagnostics.
  • To pro-actively progress patients through their pathways between days 0 and 28 of the suspected cancer pathway – for example chasing outpatient appointments, diagnostic dates and escalating delays, where unable to resolve.
  • To follow up patients who did not attend or cancelled their outpatient or diagnostic appointment, ensuring these are rebooked or escalated clinically in a timely manner.
  • Attend or cross cover a number of cancer meetings within the department and Trust, ensuring any actions are carried out in a timely manner.
  • Ensure that the patient record system (Epic) is up-to-date and accurate, and validate patient records as appropriate.
  • Work with other cancer services; tracker, MDM coordinator.
  • Booking of ring-fenced Lung CT scans and liaising with Radiology.
  • When required, chase up responses to complaints within optimum deadlines and forward to the correct party.
  • Provide cross cover to existing administrative roles within the Respiratory team.

Administrative Responsibilities

  • To act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring as necessary. These will include personal enquiries from patients and their relatives, as well as calls from GP’s, clinicians, students, nursing and administrative staff, at all times understanding the sensitive nature of calls.
  • To demonstrate an understanding and reassuring manner when dealing with patients and their relatives.
  • To liaise directly with patients to book, cancel and rebook any outpatient’s appointments or procedure dates. To ensure appointment letters are sent out where required.
  • To ensure patient confidentiality at all times.
  • To provide administrative support as and when needed to the clinical team, including processing of clinical letters (some of a distressing nature), reports and inpatient summaries using the Epic system, ensuring that quality standards are met.
  • To ensure all patient demographic details are checked and any amendments/corrections are carried out in an accurate and timely fashion.
  • To support the daily office routines, such as opening and sorting post, preparing replies to routine correspondence, ordering stationery, equipment and photocopying for the team as necessary.
  • To ensure that results of tests, investigations and any correspondence received are recorded, reviewed and filed appropriately.
  • To ensure that appropriate requests for investigations are monitored following the clinicians instructions. If diagnostic delays occur or appear imminent liaise with the relevant service lead or management for action.
  • To ensure all required information is available for clinic such as referrals, results and other information relating to the patients care.
  • Ensure all office equipment is functioning correctly, arranging for repair or replacement as necessary.
  • Have the ability and commitment to work as a team member and be able to adhere to strict deadlines.
  • Exercise independent judgement and initiative when problems arise, taking the necessary actions to resolve the problems or referring to the appropriate person.
  • To provide reciprocal cover in the absence of other administrators and colleagues as reasonably requested by the management team.
  • Any other duties appropriate to the role and grade.

  • To attend departmental meetings and bring serious problems to the attention of the management.
  • To take an active part in Progress and Development Reviews and to maintain and update personal development folder.

  • Co-operate fully in the introduction of new technology and new methods of working as appropriate to the work of the administrative team.
