Job overview

The NIHR Moorfields Clinical Research Facility (‘CRF’) and Research and Development department requires a Junior Research Administrator to join the Research Administration Team.

The post holder will support both the Research and Development (R&D) department including the Clinical Research Faculty (CRF) providing administrative support to the development and implementation of clinical trials and other research studies within Moorfields Eye Hospital NHS Foundation Trust.  Taking a lead role in ensuring high quality administrative service is provided to the CRF and R&D management Team at all times. This post is essential to the delivery of a flexible and supportive service to investigators, their teams and their patients participating in a range of clinical research trials undertaken within the Trust.

The post holder should have keen interest in Clinical Research.

Main duties of the job

  • Responsible for the delivery of high quality reception and administrative services to patients, visitors and staff within the clinical research facility.
  • Responsible for providing support to the Study / Clinical teams/ Governance and contracts during set-up, maintenance and close-out of clinical studies.
  • Support Research Portfolio Managers by processing study amendments and study applications, assisting with monitoring on studies and assisting with annual study reports to the REC.
  • Document management, assist in uploading CVs, GCP certificates, recruitment upload, monitoring reports, EDGE document uploads and R and D systems.
  • Add and update information to the program EDGE to track and manage studies from start to finish.
  • Support the Research Co-coordinators in administrative tasks, including but not limited to, preparing and sending Investigator Site Files ready for Site Initiation, preparing patient study packs and notes.
  • Organise departmental meetings including, arranging, attending, circulating agendas, recording minutes, disseminating minutes, following up action points and acting as a first point of contact for enquiries for the team. Meetings include but are not limited to, Research Management committee, Space committee, CRF operational meeting, Early Phase Oversight committee, In-set-up & Performance meeting,  Education meetings and Quality Review Group.

Detailed job description and main responsibilities

  • Manage the Research and Developments email mailbox and where required allocate enquires to appropriate members of the research portfolio manager team. Field queries (e.g. guidance on ethics applications, sponsorship queries, general research queries etc.)
  • Liaise and work effectively with the R&D department and all members of the multidisciplinary team in order to assist with the conduct of research studies.
  • Work with the Operations team to produce quarterly CRF Newsletters, including proof reading and circulation.
  • Maintain an optimum level of stock for office supplies.  Ensure that stationary orders are submitted promptly and distributed correctly.
  • Be responsible for procurement of new equipment, furniture & fittings and ensure that purchases are underpinned by maintenance contracts where appropriate.
  • Assist CRF staff with publicity and promotion of the CRF including open days and PPI events as requested.
  • Develop systems and processes which ensure the smooth running of the facility and adhere to information governance requirements to protect patient data and confidentiality.
  • Act as a point of contact for external enquiries from patients and professionals contacting the CRF and R&D department, signposting them appropriately to other members of the team.
  • Develop and maintain effective paper and electronic filing systems.
  • Undertake clerical/secretarial tasks where necessary and provide cross cover for the Receptionist and other administrative posts.
  • Represent the CRF and R&D department at appropriate meetings.
  • Organise and book travel and accommodation if required by CRF and R&D personnel.
  • Be responsible for the co-ordination of maintenance and repair of CRF and R&D equipment, ensuring faults are reported promptly and monitored.
  • To manage workload priorities ensuring the more urgent and important tasks are completed first within required timescales.
  • Provide high standards of customer service within the admin/clerical CRF and R&D team.
  • Support CRF and R&D staff with study closeout and archiving.
  • Undertake any other duties commensurate with the grade.
