Job overview
To be responsible for the provision of a comprehensive and efficient administrative service to the Pre-Assessment Service, enabling the delivery of a high quality service to patients and staff.
Participate in a rota system to provide cross cover for other members of staff within the team to ensure consistent and effective service is maintained during periods of annual leave/sickness
Participate in the regular induction and training of new members of staff/colleagues within the team, sharing knowledge and expertise of the administrative processes, functions and specialty knowledge.
Learning/training in all other departments consisting of VRE, Wards and Pre-Assessment clinic
To ensure high standards on data entry and quality are achieved and sustained across all services in both paper and electronic record-keeping.
Attend mandatory training required for administrative staff to ensure compliance with the Trust Mandatory Framework including participating in annual performance and development reviews.
Please note there is 1x permanent and 1x 12 month fixed term post.
Main duties of the job
Manage day to day running of the wards without supervision
To provide a high standard reception service and general administrative support whilst being first point of contact to patients
When cancelling patients accurately record their RTT status ensuring the correct pathway is maintained.
Track all patient Health Records appropriately to the relevant service, using the electronic case note tacking system.
Respond to all requests and other queries via email promptly
To liase and communicate effectively with nurses/doctors and theatres of any changes or problems that arise on the day of surgery for patients; I.e. late arrival etc.
Ensure all appropriate departments are kept informed regarding changes to a patients surgery.(cancellations) Ie. Admissions coordinators, theatres
Ensure patient information is obtained and recorded in Trust electronic systems and this is checked regularly and updated in any changed on both electronically and in patients heath records.
Attending to doctors who have added patients onto the theatre list for surgery last minute and failed to inform the admissions team which means looking for medical notes on the day of surgery and prepping the notes
Must have the ability to adapt to multicultural needs and requests
It is essential to complete the Excel Database Spreadsheet Reports on a weekly basis for the Admissions Team Leader and Matron. This consists of an admin pack dealing with missed admissions and non-discharged patients.

Detailed job description and main responsibilities
Manage day to day running of the wards without supervision
To provide a high standard reception service and general administrative support whilst being first point of contact to patients
Accurately record patient’s attendance and discharges on the Trust’s electronic system correctly.
Maintain a good knowledge of RTT outcomes and the affect it has on patient pathways.
Accurately discharge patients once surgery complete using the correct RTT code
When cancelling patients accurately record their RTT status ensuring the correct pathway is maintained.
Liaising with the coding team to ensure patient pathway through surgery is recorded accurately on PAS. This includes looking up patient history through the discharge lists and investigating for any PAS errors.
Change operation booking on Open Eyes if patients are cancelled, DNA, In and Out etc.
Track all patient Health Records appropriately to the relevant service, using the electronic case note tacking system.
Respond to all requests and other queries via email promptly
Communicate with Cumberledge ward to get daily update on the discharge day and time of the NHS patients and action on PAS
To liase and communicate effectively with nurses/doctors and theatres of any changes or problems that arise on the day of surgery for patients; I.e. late arrival etc.
PROBATIONARY PERIOD
This post will be subject to a probationary period of 6 months.
During the probationary period, your suitability for continued employment will be assessed and provided a satisfactory standard is achieved and maintained, your employment will be confirmed. The probationary period may be extended or your employment terminated either during or at the end of probation, in line with the trust Probationary Policy. For the duration of the probation period, the notice period will be in line with contractual obligations on either side.

Knowledge and Skills
Essential criteria
- Intermediate IT skills to include knowledge of Microsoft packages eg, Word, Excel Outlook
- Ability to work effectively and harmoniously within the team structure.
Experience
Essential criteria
- Previous clerical experience in a demanding customer/patient facing role
- Front line customer experience
- Handling confidential and sensitive information in accordance with the data protection act
Desirable criteria
- Experience of working in a health care environment
- Knowledge of data management
Qualifications
Essential criteria
- Good general education Including English and Maths at GCSE A-C or equivalent
