Job overview

The post-holder will confident in working professionally with the public and be responsible for the provision of high-quality administrative support for a busy reception area.    With colleagues, they will support the team as they take ownership of the area whilst carrying out administrative task.

They will promote the professional and caring image of the Trust as they prioritise their workload and use their training and initiative when dealing with queries from clients, health professionals and members of the public.

Main duties of the job

The post-holder will be required to have excellent communication skills and telephone manner with the ability to multi task and prioritise workload. 

Duties include answering calls in a polite and timely manner and signposting those  necessary.   

Communicate with colleagues via Phone, email,  Microsoft Teams.  Processing incoming mail. Prompt and accurate data entry.

Formatting and sending letters and other administrative task using Microsoft Software.

Attention to detail with good literacy skills are required as the successful applicant will support other administrators within the team in producing standard letters and assisting in entering referrals onto our Electronic Patient Journey System (ePJS) – experience in using ePJS is an advantage, but not essential, as training will be provided.

Detailed job description and main responsibilities

Key Responsibilities:

  • ·      Deal professionally with queries from visitors and telephone callers, ensuring messages are delivered accurately and efficiently. Resolving local issues and using initiative to take follow-up action when appropriate. Record messages on electronic Patient Journey System (ePJS) when applicable.

    ·         Provide administrative support to members of the Teams. This will include typing and sending emails.

    ·         Formatting clinic letters, sending appointment letters via email and through general mail, in an accurate and timely manner.

    ·         Keep Staff Contact list and Distribution list up to date.

    ·         Log Estates jobs and record as they are completed.

    ·         Train and carry out the roles of a Fire Warden.

    ·         Attend and participate in regular supervision and annual appraisal meetings.

    ·         Undertake any other duties considered relevant and appropriate to this post.

Person specification

Qualifications

Essential criteria
  • GCSE English/Maths A-C or equivalent
Desirable criteria
  • ECDL or equivalent

Experience

Essential criteria
  • Experience of dealing tactfully and courteously with people with mental health needs and from diverse backgrounds
  • Experience of data entry
  • Experience of and ability to multi-task, working under pressure whilst remaining calm and professional
Desirable criteria
  • Knowledge and understanding of ePJS
  • Experience of working in a mental health or NHS, health setting

Knowledge/Skills

Essential criteria
  • Excellent communication skills with accurate grammar, spelling and punctuation
  • Ability to plan, prioritise and multi-task
  • Awareness of Data Protection and Confidentiality
  • Understanding of Racial Awareness and Diversity
