Job overview
We have an exciting Band 4 Assistant Workforce Systems & Intelligence Analyst post available within the Workforce Intelligence Team to provide a clear and concise Workforce reporting function. The post holder will be responsible for generating, preparing and distributing Workforce reports to key stakeholders across the Trust.
In addition, the post holder will provide support to managers and employees over the phone, face-to-face and by email with queries in relation to ESR (the electronic staff record system used by NHS organizations as their HR and payroll system) and other Workforce Systems including Smartcards and the Registration Authority.
Our ideal candidate will possess excellent analytical skills expected to deliver key results such as
- Providing accurate and reliable Workforce Information reporting.
- Ensure Workforce Information Datawarehouse data feeds are up to date and continue to provide accurate data for workforce reports and automations
- Improve use of establishment control system, and maintain alignment of Workforce and Finance systems
- Manage the data quality held within Workforce Systems especially with regards to Professional Registrations.
The ideal post holder will also enjoy working with IT systems and have good customer service skills. You will be someone who is curious about processes and understanding IT systems.
Main duties of the job
1. To be responsible for running, checking and sending out standard workforce reports to stakeholders across the Trust (This responsibility will change as Power BI reports launch and processes are automated. There will still be a responsibility for running standards reports to a schedule, and ensuring that Trust reports continue to accurately reflect the true position)
2. To support the Establishment Control process, including liaising with managers, finance and recruitment to ensure the ESR establishment is maintained and is in line with financial planning
3. To maintain the documentation for the Workforce Intelligence Team with regards to definitions, processes and reporting schedules
4. Managing Workforce Intelligence Team queries inbox, triaging and responding to queries received, including information for Freedom of Information Requests, these will have been triaged by WFIM / WFIBP.
5. Data Quality- responsibility for maintaining Trust WoVEn report and Professional Registrations on ESR.
6. To operate as an Registration Authority Agent; producing smart cards for employees and temporary staff; assigning relevant smart card access; troubleshooting; supporting training activities

Knowledge & Qualifications
Essential criteria
- • Diploma level qualification or equivalent experience in a systems or information area (such as Electronic Staff Records or PowerBI)
- • Good knowledge of Microsoft Office, in particular Word and Excel (including Pivot tables and charts)
Key Competencies

- • Clear and effective communications skills, verbal and written, including report writing
- • Ability to understand, manipulate and present numerical / statistical data in a variety of user-friendly formats
Experience
