Job overview

We are looking for a proactive, detail-orientated team player, to join our large administrative team. The postholder will be responsible for managing the patient pathway and ensuring that key operational standards are met, such as activity and theatre utilisation targets. 

This post involves working closely with patients and staff in various departments. Strong interpersonal skills are essential, as it involves being the primary point of contact for colleagues, patients, relatives and other organisations. 

Excellent organisational and communication skills, professionalism, flexibility, accuracy, and the ability to work autonomously, with attention to detail, within a busy environment are essential.

Main duties of the job

•    Coordinate and oversee daily administrative operations to ensure smooth functioning.
•    Implement and maintain efficient office procedures and systems.
•    Collaborate with clinical and non-clinical teams to streamline processes and improve service delivery.
•    Handle patient queries and complaints with professionalism and empathy.
•    Ensure compliance with NHS policies, procedures, and regulations.
•    Oversee/Cover bookings and scheduling across sub-specialties.
•    Coordinating front-desk operations to ensure smooth daily functioning.
•    Management and actioning of waitlists.
•    Ensure key operational standards are met (activity and theatre utilisation targets, etc).
•    Contribute to continuous improvement initiatives within the department.

Person specification

Knowledge and Qualifications

Essential criteria
  • Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
  • Knowledge of the full range of administrative procedures, acquired through training and previous experience of working in an administrative environment.
  • Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.
Desirable criteria
  • NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.

Experience

Essential criteria
  • Experience of working in a non-routine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent).
  • Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery.
Desirable criteria
  • Previous NHS experience, or experience of working in a healthcare setting.

  • Being familiar with, and adhering to Trust policies and guidance on infection prevention and control.
