Job overview

As part of both and national imperative to improve the uptake of childhood immunisations, Islington has developed a coordinated approach to childhood immunisation. The post of Immunisation Support Administrator, introduced in 2012, is to provide the essential communication between the main Child Health Information System and Children’s Centres, Nurseries, GPs and Schools in Islington.

 The post holder will provide support for immunisation training and the post-holder will process promptly and accurately all SCID results before BCG vaccinations are given and record information on the Child Health information system. The post holder will follow up the defaulter (those who have missed BCG vaccination) in the community clinic. She/he will be skilled using databases, assist with using databases, and assist with the monitoring of quality data. She/he will be able to communicate with a wide range of people including NHSE, parents and interpreters as required. The post holder will be expected to work without direct supervision, use initiative and problem solve, responsible for registering the immunisation training of staff.

Main duties of the job

  1. To have a visible presence in the community to liaise with GP practice, health professionals, managers, Children Centres, Private, Voluntary and independent nursery providers, Early Years, Schools, Public Health and other departments, in line with data sharing agreements.
  1. To communicate with a wide range of people , services and departments using initiative to resolve problems, and to develop the trust and commitment to enable babies to get vaccinated timely
  1. To provide a high level of clerical and administrative support to all areas covered by immunisation as directed by specialist immunisation nurse.
  2. To be responsible for requesting, receiving and despatching children’s immunisation information as requested by children centre and all Nurseries in Islington and other Trusts and as required to / from GP practices in line with data sharing agreements. Ensure that these requests and immunisation information are recorded appropriately.
  1. To promote immunisation uptake by ensuring that the most relevant and up to date immunisation material is made available in key places where parents and or children attend, including community centres, locale leisure facilities and places of worship.

Detailed job description and main responsibilities

  1. To promote immunisation uptake by ensuring that the most relevant and up to date immunisation material is made available in key places where parents and or children attend, including community centres, locale leisure facilities and places of worship.
  1. To deal with the “cleaning” of the immunisation defaulter lists by liaising with significant others, updating data, prior and after the distribution of lists.
  1. To enter all immunisations information received on a daily basis on Child Health Information Systems. Checking erroneous data with practice nurses, health visitors and school health staff and ensuring that the next scheduled appointment is accurate.
  1. To be fully competent with Microsoft Word, Excel, PowerPoint, PDF files, internet, email audits etc. To undertake the management of projects as directed and contain the latest patient information.
  1. To monitor appropriate database systems for BCG vaccination and to evaluate the quality of data input for immunisations. Ensure that the systems are regularly maintained and contain the latest patient information
  1. To participate in Trust Appraisal System and attend any training course as deemed appropriate to meet the objectives of the service.
  1. Undertake any other such duties, appropriate to the grade, as directed by the manager or the deputy director of public health.
  1. To promote immunisation uptakes in Children Centres by assisting in providing Posters, Leaflets and trainings to staff members.
  1. To visit underperforming GP Practices and work collaboratively to increase uptakes by doing calls and recalls.
  1. To visit GP Practices who do not respond to queries and find out the root cause.
  1. To provide support with training the Healthcare Assistants with regards to BCG bookings and defaulters processes
  1. To request from informatics, monitor and improve quality of COVER reports.
  1. To request immunisation histories for clients who have moved in from different boroughs.
  1. To work in other areas of the Trust as required by the needs of the service.

Education/Qualifications

Essential criteria
  • Educated to GCSE level (or equivalent) in English Language and general subjects

Skills and Abilities

  • Able to communicate complex and sensitive information in a variety of forms to patients, relatives and carers, including children and patients with learning or physical disabilities.
  • Good telephone manner
