Working within the Workplace and Facilities Management (WFM) team, the Office Administrator will contribute to the smooth running of our offices, meeting rooms and events. 

This role is a predominantly office based role based in our Manchester office due to the nature of the work. There will be 1 day per week working from home and the rest based in the office.

Main duties of the job

  • You will bring excellent organisational skills when managing your workload, confidently prioritising tasks as they arise.
  • You will be a main point of contact for WFM; covering reception on a rota basis and dealing with enquiries in an approachable and professional manner, leading by example and delivering a customer focused, helpful service to staff and visitors.
  • You will be involved the creation of documents in accordance with our policies and procedures and will help develop and administer facilities systems, including electronic records.  
  • You will bring attention to detail: ensuring information held in our intranet and files is accurate and up to date and will have an eye for detail when setting up and checking meeting rooms.
  • After training, you will be comfortable using our online software to manage meeting room bookings, respond to help desk enquiries, issue security passes and book travel and accommodation, ensuring procedures are followed and staff and visitors are aware of these within the offices.  
  • You will be expected to perform and log health and safety checks and deliver inductions to new colleagues and visitors.
  • You will deal with event and room booking requests, ensuring these are responded to in a timely, polite and efficient manner. 
  • You will assist with the development and implementation of internal policies and procedures, identifying opportunities for improvement and efficiency.

The Manchester Workplace and Facilities Management team of 8 people is responsible for the running of our offices and meeting rooms; ensuring they are a comfortable, well equipped and safe working environment for our colleagues and visitors.


The team is also responsible for the reception service and facilitating meetings attended by staff and members of the public.
