Job overview
We are looking for a part time staff to cover the main reception at Green Parks House, Mental Health Unit to provide a welcoming first point of contact to patients, staff and other visitors to the in-patient unit. Helping with the smooth running of the Unit which includes room bookings, car parking and entry system, petty cash, patient transport, reporting facilities and housekeeping issues and other reception duties. Good communication skills essential.
Part time working patterns as below:
Role 1:
Early shift Tuesday, Early shift Wednesday, Late shift Friday
Role 2:
Late shift Tuesday, Late shift Wednesday and Late shift Sunday.
Early shifts are 07.00 - 15.00 & Late shifts are 14.00 - 22.00

Main duties of the job
The main duties will involve being the first point of contact with patients and other visitors and helping with any requests. Answering the switchboard and making sure calls are transferred correctly to staff. Helping with the smooth running of the unit and car parking area, helping other admin staff with duties, booking meeting rooms, reporting maintenance and cleaning issues. Making sure the reception area is kept clean, safe and tidy and highlighting any issues.

Detailed job description and main responsibilities
· Act as first point of contact dealing with queries from patients, relatives and multidisciplinary teams, both in person and on telephone.
· To receive all telephone calls and messages at main reception and take responsibility for the accurate recording and delivery to appropriate person/s.
· Able to deal with distressed clients/families sensitively and professionally.
· Receive and distribute all post received at unit and re-direct where appropriate.
· Collate and ensure out-going post collected on regular basis
· Monitor all deliveries into and out of the premises, ensuring that wards are aware of delivery and chasing up for collection.
· Input of hospital’s helpdesk requests for catering supplies, estates, domestic and portering, etc.
· Assist with the car parking system and allowing entry through the car parking barrier to authorised personnel
· Maintaining and collecting statistics/data/records as required
· I.T. Skills
· Undertaking of photocopying and laminating when required
· Monitoring of visitors to unit, ensuring they signing in and out of the visitors book and advising of visiting times to the wards
· Ensuring safe environment and access to waiting area for patients and families
· Book taxis/voluntary drivers for all wards and other departments
· Liaise with the Duty Senior Nurse and wards in event of fire, emergency etc. and passing any relevant information on to the rest of the unit.
· Direct emergency services to appropriate ward/team
· Expected to have had breakaway training arranged by Oxleas and complete all other mandatory training
· Responsible for monitoring of keys for meeting rooms, cycle lockers and other general areas.
· Booking meeting rooms using an online booking system.
· To be able to work within acute mental health in-patient environment in pressured and unpredictable environment and to be pro-active in quiet periods.
