Job overview

The post holder will contribute to the smooth running of the 0-19 Administration Team by the efficient performance of administrative duties to ensure a full and up to date health record including screening and immunisations, for children aged 0-19 resident in Croydon or attending a Croydon School.

The team consists of 0-19 clinical staff, 0-19 Supervisor and 0-19 administrators. The post holder will undertake a range of administration and clerical duties and liaise with a range of health professionals including internal and external agencies and departments. This will also include contacts with clients and service users.

Main duties of the job

To be responsible for providing full administrative support to the supervisor and the 0-19 service

· The post holder will manage their own workload and suggest & implement changes as required.

· The post holder will be responsible for maintaining stock controls for stationary and raise all pay items to the supervisor.

· To have a clear understanding and adhere to the procedures and principles of the 0-19 Administration service and provide an effective and efficient customer focused service.

· To maintain effective links with internal and external users of the service. Dealing with all telephone queries within the department.

· To develop advanced keyboard skills to operate the Trust’s computerised health information systems pertinent to the work of the department, to run daily reports and analysis data and act accordingly.

· Complete Monthly E Rostering

· Complete Weekly collective Dashboards for all service and report to Manager.

· Ensure administration support provided for all work loads.

· To work collaboratively, and have an understanding of all the roles within the team. To provide cover for colleagues within the department as and when required.

· To use initiative in appointing a degree of urgency to work, maintaining workload without direct supervision and with a degree of accountability on a daily basis

· To type and circulate agendas, minutes and other papers for meetings and committees as required

Qualifications

Essential criteria
  • NVQ Level 3 or equivalent
  • A Level or equivalent
  • Excellent Advanced IT skills including Excel

Experience

Essential criteria
  • Clerical experience in an office environment including data entry
  • Experience of routine and repetition of work
  • Experience working with people and teams in a multi-cultural and ethnically diverse environment
  • Substantive experience of using computerised information systems
Desirable criteria
  • Experience of EMIS
  • Experience of dealing with Child Health information in a community setting
  • Previous NHS experience

Knowledge & Understanding

Essential criteria
  • Knowledge of the principles and practice of effective office systems and procedures
  • Demonstrate an understanding of the importance of accuracy and attention to detail in detail when dealing with patients paper and computerised health records
