Team Administrator

Part Time - 15 H/W, Permanent - Band 3

Please note this role is 2 days per week (15 hours) predominantly based at Lennard Rd and will support the Tulip Challenging Behaviour Service, supporting CYP with Learning disabilities. the successful candidate may be required to provide Cross Cover for the Tulip nursing team across other sites on occasion. 

The Paediatric Neurodisability Nursing Team and Children's community nursing team provides co-ordination and case management of children with highly complex and unstable long-term conditions in partnership with health, education and social care organisations.

The aim of the service is to provide a dedicated specialist children’s nurse to promote standards of excellence and manage the clinical risk of complex, unstable and vulnerable children in the community within the context of family centered care thereby reducing the need for secondary care interventions.

This role work alongside other service administrators to support  provide administration to Paeditaric Neurodisability and Community Children's nursing services, working flexibly to meet the diverse needs of the service across St Giles School and Lennard Road sites.

Main duties of the job

To be responsible for providing full  administrative support to the team to which you are working, duties may include:

Use of computer software packages to process documents and letters

Ability to access the internet and use email

Use of spreadsheets or databases as appropriate to collate data required for service management 

Maintain accurate diaries

Maintaining an effective up to date filing system

Ordering equipment and monitoring and arranging servicing of equipment used by nursing staff. 

Arranging appointments and booking venues

Screening incoming mail, dealing with directly if appropriate or referring to members of the team

Drafting letters and memos as appropriate

Preparing agendas, minute taking and typing up the minutes of the meeting

Running data reports from NHS systems such as EMIS.

Purley War Memorial Hospital (PWMH) in the south of the borough offers outpatient care, including diagnostic services, physiotherapy and ophthalmology services run by Moorfields Eye Hospital, alongside an onsite GP surgery.

Educucation/ Qualifications

Essential criteria
  • GCSE Education/NVQ 3/City and Guilds or equivalent
  • ECDL or equivalent IT qualification
Desirable criteria
  • Education at degree level
  • Specialist qualifications/ extensive experience in the use of excel spreadsheets

Skills and Abilities

Essential criteria
  • Ability to communicate in a variety of settings with patients, relatives of varying levels of understanding.
Desirable criteria
  • Experience of administrative working in a healthcare setting.

Experience

Essential criteria
  • Experience of wide range of routine and complex clerical activities preferably within the healthcare setting or equivalent public sector.
  • experience of using Office applications including the use of Outlook electronic mail systems and use of routine office equipment.
Desirable criteria
  • Knowledge of medical and pharmaceutical terminology
  • Experience or understanding of the audit process
  • Previous experience working in a setting with children with disability/ complex health conditions.

Knowledge

Essential criteria
  • Ability to produce and proof read reports/documents to a high standard.
  • Using Word, Powerpoint and Excel to a high standard. Excellent communication and interpersonal skills, including an excellent telephone manner.

Aptitude

Essential criteria
  • Good organisational and time management skills. Ability to work effectively within a team.
  • Ability to work independently and take responsibility for own decisions but recognising when to refer to senior staff appropriately.
  • Ability to organise, prioritise work for self and others and ability to meet deadlines.
  • Develop effective working relationships across organisational boundaries
