Job overview

We are looking for 12 month fixed term secondment cover for our full-time Theatre Receptionist. To work as part of a team supporting the pivotal and high quality administrative needs of the Theatre Department. The post holder will need to be able to communicate well with patients, relatives, and a wide range of multi-professional staff, internal and external to the Trust, maintaining confidentiality at all times. In order to provide this support we are looking for a confident, enthusiastic, highly motivated individual who has excellent attention to detail, a versatile approach and the ability to cope with a large number of different tasks simultaneously to join our vibrant and friendly department. This role will require a high level of professionalism. A working knowledge of a range of Microsoft tools is therefore essential. The working pattern is Monday to Friday – 0800-1600. This is an on-site post, working within Theatres.

Main duties of the job

Provide an excellent customer service for the theatre environment via the front desk reception and all the administrative duties this involves; updates on Epic our EHR system, call handling and face to face contact with staff and patients to ensure high levels of visitor and clinician satisfaction by being an accessible, customer focussed and knowledgeable point of contact. National Joint Registry and MDOR to enter all required patient information on all hip, knee, ankle, elbow, shoulder replacement and paediatric operations and to ensure that the Trust is 100% compliant. Act as the point of contact for the National Joint Registry and MDOR for the RNOH. Provide an administrative service to the Theatre Co-ordinators, Theatre Business Support Manager and Theatre Manager; so, must have excellent verbal and written communication skills. Report any problems relevant to the department to the Theatre Manager and log issues to Estates or Digital Services. Monitor own workload relevant to your role or escalated to your manager if performance is below required level. Demonstrate high levels of customer care and be an ambassador for customer care within the trust. Act as the communication hub for the Theatre Co-ordinators, clinical teams, theatre staff, (and occasionally patients/relatives) as well as internal and external organisations.

Detailed job description and main responsibilities

Monitor data quality on a daily basis and take any immediate action to ensure all information is entered in a timely fashion, and that the quality of data is to a high standard.

Prepare the daily operating lists to ensure that they are accurate and available to all of the relevant parties internal and external to the theatre environment. 

To monitor theatre lists, escalating issues to the Theatres Business Support Manager as appropriate.

Use the computerised patient management systems (Epic) to collect, retrieve and enter patient data from a variety of sources in order to ensure elective and emergency operating cases are entered and all cancellations in a timely manner and ensure those affected are made aware. 

To use a measure of independent judgement, including decisions on prioritising staffs’ needs whilst considering performance targets. 

 Support the Theatre Business Support Manager with projects relating to the Theatre Department.

To provide cross-cover, as required, for absent administrative colleagues.

 Handle post and distributing this within department.

Photocopy documents as required, poster lamination and stationery level monitoring.

 Actively participate within allocated teams to ensure duties and responsibilities are equally shared, including covering staff absences
