Job overview

The primary function of this role is to provide administrative support in facilitating and supporting the delivery of the Kingston Tier 3 Diabetes service.

The Team Administrator is the pivotal role responsible for administrative duties for both the Richmond and Kingston Tier 3 Diabetes Services and working closely with the Diabetes lead administrator and the Diabetes service lead supporting the delivery of the service.

The post holder will provide comprehensive administrative support mainly to the Kingston Tier 3 Diabetes Service and also the Richmond Diabetes service as required carrying out general clerical duties, including making patient bookings, meeting and greeting patients at two health Centres in Kingston and managing data and resources, to ensure the smooth running of the Kingston Tier 3 diabetes service.  

The post holder would be expected to work on site at Teddington Memorial Hospital and at Merritt Health Centre on site.  

Main duties of the job

Answer incoming patient telephone calls to provide an efficient appointment booking service for both the Richmond and Kingston Tier 3 diabetes services.

Provide an informative telephone advice service to referrers, patients, and others, undertaking information gathering and problem solving to resolve any issues for the diabetes services.

Meet and greet patients into the clinics at Merritt Health Centre.

Manage appointment booking to ensure all clinics are fully booked and offered within contracted targets, recording patient choice as appropriate.

 Manage waiting lists to ensure all patients are sent first appointment offer letter per access policy, ensuring urgent referrals being contacted within KPI target in liaison with relevant clinician.

Monitor clinics and waiting lists to ensure any cancelled appointments are rebooked and slots re-used.

Monitor and action all incoming emails to generic team in-box.

Provide comprehensive clerical support to all clinicians  based in the clinic/department in line with administrative procedures.

Education and Qualifications

Essential criteria
  • Good general education, educated to NVQ 2 level or equivalent
  • Educated to GCSE level or equivalent
Desirable criteria
  • Customer Care training

Experience

Essential criteria
  • Demonstrable experience of working in an administrative environment and working with computerised clinical data systems such as SystmOne / EMIS
Desirable criteria
  • Previous NHS or public sector environment experience

Skills / Abilities

Essential criteria
  • IT skills, particularly Windows applications (Word, Excel, and Outlook)
  • Excellent communication and interpersonal skills, with the ability to communicate effectively both verbally and in writing.
  • Ability to work effectively as part of a multidisciplinary team and promote collaborative working

Knowledge

  • Understanding of Data Protection issues
