Job overview

The Assistant Patient Coordinator  will play a vital role in supporting the delivery of high‑quality care for patients within the Dermatology and Plastic surgery Department  The post holder will be responsible for accurate collection, validation, and analysis of patient pathway data to ensure timely appointments, effective monitoring, and compliance with clinical and national standards, reception cover. Working closely with clinical teams, the role will help identify delays, support pathway improvements, and enhance the overall patient experience.

The post will also contribute to service efficiency by streamlining data processes, supporting performance reporting, and ensuring that clinicians have reliable information to guide decision‑making. 

Main duties of the job

  • Log and process referrals in accordance with Access Policies and SOP
  •  Ensure diagnostic requests have been submitted and results are available on the relevant system ahead of patient appointments where required.
  •  Support rebooking due to clinic changes or cancellations where required, following Trust operating procedures and processes
  •  Liaise with clinicians, outpatient teams, diagnostic departments and other organisations to gather information required for patient appointments.
  • Schedule ad-hoc new and follow-up appointments, ensuring clinics are used efficiently and patients are booked with the appropriate clinician.
  • Ensure cancer pathway patients are identified and escalated to specialist MDT coordinators.
  • Log and record patient appointment attendance status in EPR if working in an outpatient area e.g. attend, did not attend
  • Ensure all Outpatient clinics are appropriately cashed up in line with Trust policy.
  • Accurately record outpatient appointment outcomes on the Trust EPR system, ensuring all procedures listed on outcome forms and RTT codes are recorded.
  • Ensure all patients are added to an appropriate follow up waiting list if a follow up appointment is required.

Education & Qualifications

Essential criteria
  • Good general education, including GCSEs (or equivalent) in English and Maths.
  • Competent IT skills, including use of MS Office (Word, Excel, Outlook).
Desirable criteria
  • Additional training or certification in data analysis, medical administration, or health informatics.
  • Experience producing performance reports or supporting audit processes.

Knowledge and Skills

Essential criteria
  • Experience managing data entry, maintaining accurate records, and working with electronic systems.
  • Understanding of confidentiality, data protection, and information governance standards.
Desirable criteria
  • NVQ Level 3 in Business Administration or equivalent.
  • Experience producing performance reports or supporting audit processes.
