Job overview
An exciting opportunity has arisen within the Anaesthetic department for an enthusiastic Administrative Team Leader to join our expanding team.
The successful candidate will be responsible for overseeing the administrative management of the Day Surgery Unit reception team.
In this role, you will be responsible for overseeing the daily operations and administrative management of the Day Surgery Unit’s reception team. You will manage a small team of two receptionists and one fellow team leader, ensuring smooth and efficient reception services for patients and visitors. Your leadership will be key in maintaining high standards of customer service, coordinating patient flow, and supporting the wider surgical team. This is a great opportunity for someone with strong organizational skills and a passion for delivering excellent service in a fast-paced healthcare environment.
you will also play a key role in supporting the allocation of shifts for our Consultant Anaesthetists. As the department continues to grow, you will help ensure that all theatre suites are consistently staffed with the appropriate number of skilled professionals, ensuring optimal patient care and smooth operational flow.
You will work closely with the Junior Doctor Rota Coordinator to assist with the scheduling for the junior doctor rota, making sure that all shifts are covered and that staffing levels align with the department’s needs.
Main duties of the job
The main duties include
Oversee the daily operations of the Day Surgery Unit’s reception team.
Manage a small team consisting of two receptionists and one fellow team leader.
Ensure smooth and efficient reception services for patients and visitors.
Support the allocation of shifts for Consultant Anaesthetists.

Ensure theatre suites are adequately staffed with skilled professionals.

Help maintain optimal patient care and smooth operational flow by managing staffing needs.

Detailed job description and main responsibilities
Be responsible for the anaesthetic rota ensuring that service gaps are identified, and action taken to cover all sessions and on-calls.
Co-ordinate the leave of medical staff in anaesthetics ensuring leave is booked in accord with Trust/Directorate policies/procedures.
The post holder will be the focal point for consultants with regard to administration duties, relating to rotas, leave, induction, training and education, sickness etc.
The post holder will Oversee the daily operations of the Day Surgery Unit’s reception team.

Qualifications and Training
Essential criteria
- 5 GCSE passes (C or above) or equivalent including Mathematics and English Language Educated to A Level or equivalent experience
Desirable criteria
- Educated to diploma/degree level
Experience
Essential criteria
- At least two years NHS experience Experience of working in an office environment Experience of working in a customer service role Experience of working with medical staff rotas or equivalent transferable skills
Desirable criteria
- Experience of using consultant/junior doctor’s rotas e.g. CLW Rota Map, Allocate HealthRoster Experience working in Theatres and Anaesthetics Surgical Environment

- Well organised with a logical approach to problem solving Attention to detail Good written and verbal communication skills, including negotiation skills Able to take accurate minutes at meetings
