Job overview

The post holder will provide operational delivery, coordination and advisory support to the group Equality, Diversity and Inclusion (EDI) function, working under the direction of the Group Head of EDI (Workforce). The role will support the implementation of EDI projects, events and campaigns, ensuring activity is delivered effectively, consistently and in line with organisational priorities.

The post holder will act as a first point of contact for all EDI-related queries, providing advice and guidance to staff and line managers. The post holder will administer and coordinate the Group’s reasonable adjustment processes, all EDI communications and engagement activities, which contribute to an inclusive workplace culture through practical delivery and support.

Main duties of the job

This role supports a wide range of Equality, Diversity and Inclusion (EDI) projects that improve workforce outcomes across the organisation. Providing operational and logistical support for EDI projects, events and campaigns under the direction of the Group Head of EDI.

Act as a first point of contact for general EDI-related queries, providing initial advice-based support and guidance to staff and line managers on EDI-related matters, including reasonable adjustments.

Detailed job description and main responsibilities

Projects, Events and Support to the EDI Function

1.     Provide operational and logistical support for EDI projects, events and campaigns under the direction of the Group Head of EDI.

2.     Coordinate and support the delivery of EDI awareness events and campaigns (e.g. Pride, Black History Month, Disability History Month).

3.     Effectively plan EDI activity by devising and maintaining delivery plans, timelines and trackers.

4.     Lead in the coordination of EDI events across the Group, working with internal and external stakeholders to ensure successful delivery.

5.     Develop and establish effective evaluation tools, that are deployed and utilised to ensure adequate feedback can be gathered to inform service design, and evidence engagement and outcomes

6.     Develop, and maintain EDI training and materials as required, ensuring resources remain accurate, accessible and aligned with guidance.

7.     Deliver training as and when required, across the Group.

8.     Maintain organised systems, records, trackers and shared folders to support. governance. Ensuring information is accurate, complete and kept up to date.

9.     Collate all relevant information to ensure effective monitoring of EDI activity and reporting, analysing as appropriate inform future activity.

10. Support the preparation of annual reports, routine updates and briefings as required.

 

EDI Enquiries, Advice and Case Support  

1.     Act as the first point of contact for EDI-related queries, responding promptly and escalating if required.

2.     Providing support and advice to staff who may be highly distressed or emotional.

3.     Provide advice-based support and guidance to staff and line managers on EDI-related matters, including reasonable adjustments, in line with policies and procedures.

4.     Use professional judgement to identify complex, sensitive or high-risk issues and escalate appropriately to the EDI Programme Lead and/or Group Head of EDI.

5.     Maintain accurate records of enquiries, advice provided, and actions taken to support governance and assurance.

 

Reasonable Adjustments Support

 

1.     Oversee day-to-day processes for reasonable adjustments across the Group, ensuring requests are progressed in a timely and consistent manner.

2.     Liaise with Procurement, IT and other teams to ensure effective procurement and delivery within expected timeframes of all equipment, resolving any issues that arise.

3.     Provide expert guidance to managers and staff on the reasonable adjustment processes.

4.     Liaise with external bodies, such as Access to Work and Department of Work and Pensions.

5.     Liaison with suppliers, sourcing quotes and administration of requisitions. Monitor progress of cases, resolving where possible and escalating delays or issues in line with agreed process.

6.     Ensure records are maintained accurately and in line with data protection requirements.

 

EDI Communications and Information Coordination

1.     Maintain and update all EDI intranet pages, resource libraries and communications.

2.     Coordinate the development and circulation of EDI communications and guidance materials.

3.     Ensure EDI information is accurate, accessible and kept up to date.

 

General

1.     Organise own workload to meet agreed deadlines, seeking support when required.

2.     Work flexibly to support EDI priorities, responding to requests and adjusting workload in line with service needs.

3.     Ensure all work is undertaken in accordance with organisational policies and values.

4.     Contribute to a positive and inclusive working environment by demonstrating behaviours aligned with EDI principles.

5.     Ensures they implement policies for own immediate work area and proposes changes to working practices or procedures within the EDI service and supports with their implementation.

6.     Participate in appraisal, supervision and relevant training and development activities.

7.     Undertake other duties consistent with the responsibilities and level of the role as required.

Person specification

Qualifications

Essential criteria
  • Educated to degree level, or an equivalent level of experience
  • Relevant training or qualification in equality, diversity and inclusion, HR or related area
Desirable criteria
  • Certificates relevant to EDI, such as Disability Awareness, Equality Act 2010.

Knowledge

Essential criteria
  • Experience of providing coordination support within the NHS or a large, complex organisation.
  • Experience of delivering projects, events or campaigns within an organisational setting.
  • Experience of providing advice or guidance to staff or managers within defined policies and procedures and in emotional circumstances.
  • Experience of handling and triaging enquiries, including recognising when to escalate complex issues.
  • Experience of maintaining accurate records, trackers or case logs to support operational delivery.
Desirable criteria
  • Experience of supporting or coordinating reasonable adjustment processes or similar workplace support arrangements.
  • Experience of delivering EDI, wellbeing, training and development or employee engagement initiatives.
  • Knowledge of EDI principles in the NHS, the Equality Act 2010 and Equality Reporting Requirements in the UK / NHS.
