Job overview
We are looking for a driven individual to join a busy and expanding Neurology and Outpatient Neurorehabilitation service, which sits within the Unplanned Care Division. The service works closely with the Stroke Medicine services with cross-cover arrangements in place, and so we are looking for someone who is a good team player.
The post holder will provide comprehensive administrative support to the team, including consultants, junior doctors and nurses. The post holder will need to be flexible, have a confident telephone manner along with good typing skills and organisational skills. Team member will be required to use various systems like Cerner, e-Referral Service, Luna, E-Vetting, Care Coordination Solution (CCS) and any other systems as appropriate.
To be proactive in use of statistical information daily from LUNA/REGO and NHS eReferral Service - regarding patient bookings, wait times, breachers for each of the specialities managed within the department. Act as a GP point of contact for non-clinical patient related queries.
Confidentiality within this post is of prime importance.
Main duties of the job
Operating the reception for Neurology and Neurorehabilitation clinics and completing administrative processes around arriving, booking and outcoming patient appointments.
To book patients for their appointments in accordance with 18-week RTT standards and in line with the current Patient Access Policy and booking criteria.
Knowledge of secretarial procedures and systems, passing on messages to the appropriate person.
To deal with all incoming calls, cancelling/re-arranging appointments and redirecting callers as required.
To answer all written, email and telephone queries, and resolution within specified timescales, recording and reporting the query details on Cerner and response times will be part of this role.

Essential criteria
- Good level of general education – A levels or NVQ level 3 or equivalent work experience
- Excellent IT skills – ECDL or equivalent experience in IT systems
- Knowledge of national guides and policies with regards to Patient Access
- Excellent communication skills with the ability to communicate with staff and the public at all levels in a friendly and professional manner
- Ability to prioritise workloads, and be able to respond to changing requirements and demands
Desirable criteria
- Knowledge of the NHS and in particular Acute Trust
- Experience in a busy office environment
- Cerner/similar IT system experience
- Experience of reducing/cancelling clinics on PAS system
- Knowledge of the NHS and in particular Acute Trust
- Previous clinic operational Cerner experience
- General office administration skills, working towards targets
- Previous experience of dealing with patients and GPs over the phone
