Job overview

We are looking for an experienced, highly motivated and enthusiastic team leader / office manager to provide secretarial and administrative support to the Sleep Services department, within Respiratory Medicine.  Working as part of a friendly secretarial team you will have excellent communication skills and be able to work calmly under pressure using your own initiative, with an ability to prioritise work to meet deadlines. 

Essentially, we are looking for a good standard of general education along with previous comprehensive secretarial experience, and to have a good level of computer literacy, proficient in the use of HIVE, Microsoft Word and Excel.  

We would expect the candidate to be a good team player with a flexible approach to work, providing assistance to your colleagues and cover for sickness and annual leave when required, helping to ensure an effective administrative service at all times.

Main duties of the job

The post-holder will be required to follow policies and procedures and communicate effectively as appropriate

Sorting and distribution of incoming mail both electronic and paper form, ensuring all supporting documentation i.e. notes, x-rays and results are available for the medical staff to review.

Ensuring urgent matters are brought to the attention of the appropriate person in a timely fashion reporting any problems or issues to senior staff and seeking clarification if unsure of procedure/s.

Responsible for the timely processing of referrals, involving the prioritising by medical staff and ensuring that all cancer targets are met where appropriate.

The post-holder would be expected to demonstrate office procedures to new staff and provide the appropriate training.

The post-holder would be expected to commit to on the job learning, where necessary i.e. expansion of medical terminology knowledge, relevant policies and procedures.

Liaising with GP’s and other external agencies regarding referrals/results to ensure that the minimum data set is recorded on HIVE.

Working closely with the ILD/CC Specialist Nursing teams and Departmental Pharmacists.

Attending weekly PTL meetings with the Operational Manager and Outpatient Bookings team.

Validation of the Patient Pathways using HIVE.
