Pharmacy Invoicing Clerk

Job overview

The MFT Pharmacy department is looking for an enthusiastic individual to join our well-established Procurement Team based at the Oxford Road Campus.

Communication is key and the post holder will liaise both internally within Pharmacy colleagues and externally with suppliers.  Knowledge of dealing with Pharmacy orders/invoices is required along with raising and resolving queries. You must be computer literate, able to create and manipulate spreadsheets, with excellent attention to detail and accuracy  when  working under pressure to deadlines.    The ideal candidate will be forward thinking and motivated, a problem solver who is adaptable, flexible and willing to learn new skills.  

 

Main duties of the job

Accurately check invoices and process them on the pharmacy stock control system to ensure they are consistent with the goods  received by the Pharmacy department. 

Highlight possible order/receipt errors to colleagues for correction .

Identify invoice charge errors (e.g. over/under charges, over supply, excessive delivery fees) and lodge queries with suppliers .

Accurately record invoice queries and credits 

Regularly follow up outstanding queries to ensure timely resolution.

Scrutinise monthly provider statements .

Investigate and resolve queries that arise in respect of unpaid invoices and payment discrepancies .

Effectively ensure the Trust is reimbursed appropriately .

Ensure all transactions are processed through the pharmacy computer systems for complete accurate record keeping and reporting purposes .

Develop a good working knowledge of pharmacy and finance systems

Person specification

Qualifications

Essential criteria
  • Maths and English GCSE or equivalent
  • Appropriate NVQ Level 3 or Association of Accounting Technicians Intermediate level or ECDL Advanced Level or equivalent experienc
Desirable criteria
  • RSA grade II Typing
  • ECDL

Knowledge and Experience

Essential criteria
  • Experience of working with a computerised “accounting” package
  • Data processing
  • Understanding of the NHS and the Trust Financial Regime or previous knowledge of financial procedures and practices
  • Knowledge of finance computer systems
Desirable criteria
  • Previous employment in related area e.g. procurement and stores office
  • Previous use of other pharmacy stock control system
  • Knowledge of all applications found in “Microsoft Office”
  • Knowledge of:  Stock take  Stock rotation
  • Previous use of EDI ordering and invoicing system
  • Previous working in an administrative / office environment
  • Providing training, advice and guidance to other members of staff
