Haematology Scheduler

As part of a collaborative venture between The Christie NHS Foundation Trust and MCHFT to develop clinical haematology services, The Christie is pleased to be able to offer a permanent, full-time position (37.5 hours per week) for the role of Scheduler to work within the Haematology service at Leighton Hospital.


Based at the Leighton Hospital site, your role will be responsible for booking outpatient and treatment appointments on the electronic system. Telephone communication with patients will be a large part of the role along with collaboration with other areas within the department. Further duties and responsibilities are outlined in the job description provided.


You will work across the Haematology service at Leighton Hospital alongside a team of administrative staff, Clinical Haematology Consultants, Advanced Clinical Practitioners, Clinical Nurse Specialists and Cancer Support workers.

The candidate will be responsible for booking outpatient appointments, outcoming clinic appointments, resolving appointment escalations, dealing with incoming telephone calls and emails as well as logging treatment outcomes.

We are looking for someone who is educated to NVQ level 3 or equivalent with at least 12 months’ experience in a patient/customer facing role and who is experienced in dealing with patients/customers both face to face and over the telephone. Previous administrative and clerical experience and knowledge of hospital electronic systems in an NHS hospital environment would be advantageous but not essential.

You will be able to demonstrate excellent communication and interpersonal skills, be able to prioritise your workload, have strong IT skills and attention to detail and accuracy.

A collaboration between The Christie NHS Trust and MCHFT has formed to focus on the development of haematology service based at Leighton Hospital.

The Christie Haematology service acts as a tertiary referral centre for the management of patients with haematological malignancies and bone marrow failure. Inpatient haematology and transplant services for both adults and Teenage and Young Adult (TYA) patients are provided by the 31 bedded Palatine Treatment Ward, and the 4 bedded Withington Ward. Outpatient haematology services are provided by the Haematology and Transplant Day Unit (HTDU) and the ambulatory care facility. The Christie Haematology service has grown extensively over the past few years with the development of new treatments and CAR-T. Services are now delivered at three other trusts with plans to expand services closer to home further.

The Haematology service at Leighton provides inpatient, outpatient and day-case service. Inpatient care is provided by acute physicians with consultant haematologist input at Leighton. Outpatient clinics and treatment are provided through the outpatient department and Macmillan Cancer Care Unit (MACCU) on site.

DUTIES AND RESPONSIBILITIES:

•  Use the scheduling system to plan and book patients’ day case admissions, working closely with the relevant Unit Manager about capacity to ensure efficient flow of patients within the department.

•  Liaising with other departments to schedule and coordinate other required procedures for clinical haematology patients, for example blood transfusion.

•  Liaising with the coding department to ensure accurate recording and coding of procedures undertaken on the unit.

•  General reception duties including greeting patients, booking patients into clinics and outcoming appointments.

•  Adhere to all written instructions on the clinic proformas with regard to scheduling and booking of appointments.

•  Ensure good channels of communication with patients with regards to their outpatient clinic and treatment appointments.

•  Communicate compassionately with patients who may be anxious, angry or upset, ensuring confidentiality at all times.

•  Provide comprehensive advice to patients regarding clinic and treatment appointments.

•  Work closely with other administrative colleagues within the team and provide cross cover as required.

•  Work with managers and administrative staff to review working practices, identify new improved ways of working, find solutions to problems and improve quality and range of services.
