Job overview
An exciting opportunity has arisen for a Business Administrators within the Division to join our Business Support Team.
We are looking for candidates with a positive and pro-active approach to join our team. You will be responsible for taking and transcribing notes at various meetings as required by the Division and supporting/providing guidance in relation to Health Roster-related queries such as annual leave, sickness, shift changes and new starters and leavers.
You will be required to raise requisitions and process goods received notes in relation to revenue orders for Estates & Facilities using Unit 4 the Trust’s Finance System, as well as undertake Reception duties to issue visitor passes to contractors, issue and return of keys, swipe cards in accordance with Trust protocols and policies. You will have excellent communication and organisational skills to arrange meetings, organise the diary/scheduler and undertake administrative duties as required.
Extensive experience of Word, Excel spreadsheets, PowerPoint and the ability to prioritise your own workload and meet deadlines are essential requirements for this post.
Main duties of the job
· To provide an efficient and confidential administrative support service to the Division.
· To arrange meetings, circulate Agenda, take notes and actions in accordance with meetings schedule. To update the Meetings Schedule and Attendance Log.
· To support the Health Roster Challenge Meetings and providing support and guidance on Health Roster processes/queries to managers and supervisors as required.
· To monitor annual leave for the Division, leading on annual leave calculations and enquiries for the Division, including calculating the entitlement for the following year for all E & F Staff. Liaise with HR regarding start dates/length of NHS Service as required. Production of quarterly annual leave reports for the Division and updating the Performance Management Dashboard accordingly.
· Using the Unit 4 Computerised Ordering System raise official orders on behalf of the Division, processing goods received notes and invoices.
· To undertake Reception duties to issue visitor passes to contractors, issue and return of keys, swipe cards in accordance with Trust protocols and policies.
· Maintain office systems, which contribute to the efficiency of the Division.
· To monitor annual leave for the Division including annual leave calculations and queries.

Detailed job description and main responsibilities
- To provide an efficient and confidential administrative support service to the Division.
· To arrange meetings, circulate Agenda, take notes and actions in accordance with meetings schedule. To distribute accordingly on approval of the Chairperson of the Meeting. To update the Meetings Schedule and Attendance Log.
· To support the Health Roster Challenge Meetings and providing support and guidance on Health Roster processes/queries to managers and supervisors as required.
· To monitor annual leave for the Division, leading on annual leave calculations and enquiries for the Division, including calculating the entitlement for the following year for all E & F Staff. Training of staff regarding annual leave calculations. Liaise with HR regarding start dates/length of NHS Service as required. Production of quarterly annual leave reports for the Division and updating the Performance Management Dashboard accordingly.
· Undertake daily financial monitoring of the Capital Programme. Raising orders and order amendments for Capital Schemes as requested by the Head of Capital Projects and Capital Team.
· Using the Unit 4 Computerised Ordering System raise official orders on behalf of the Division, processing goods received notes and invoices.
· To undertake Reception duties to issue visitor passes to contractors, issue and return of keys, swipe cards in accordance with Trust protocols and policies.
· Maintain office systems, which contribute to the efficiency of the Division.
· To monitor annual leave for the Division including annual leave calculations and queries.

Education & Qualifications
Essential criteria
- • Microsoft Office Qualification or extensive Microsoft Word & Excel experience
- • Good standard of education

- • ECDL (European Computer Driving Licence
