Main duties of the job

An exciting opportunity has arisen for a dynamic and proactive Portering Duty Manager to join the Estates & Facilities team.

This  post will play a key role in improving the Portering service within the Trust and will be responsible for effectively managing the Electronic Porter Request System.

The post holder will be required to manage the team on a daily basis,  use  own initiative to resolve day to day issues, have good organisational and planning skills to manage the work flow of the team.

Effective communication skills are a key requirement as you will be required to communicate with staff at all levels including patients and visitors and will be responsible for the collation and analysis of data to identify key performance Indicators to create reports for submission to the Support Services Manager as required; therefore keyboard skills and a sound knowledge of Microsoft Word, Excel and Outlook are essential to the post.

Detailed job description and main responsibilities

Main Duties and Responsibilities - 

  • Responsible for the daily management and motivation of all staff to ensure that the portering operations within the Hospital operate effectively and portering staff are deployed across the hospital whilst awaiting jobs to assist departments. This includes the effective delivery of the service and identification of potential service enhancements or developments and planning for their effective implementation.
  • Responsible for ensuring that there is adequate portering staff to cover the operation and cover absences by re-distribution of work or relief, ensuring that the most cost effective option for cover is used and that senior management have authorised any additional costs on cover.
  • Responsible for effectively managing the Electronic Porter Request System
  • To ensure all staff fully comply with all the current Risk Management, Health and Safety, Manual Handling, Security and Fire Trust Policies, Procedures and Protocols.
  • To be responsible for full compliance with the Trust Incident Reporting Policy and the Procedure for Investigating Incidents. 
  • Assist the Support Services Manager when required. 
  • To be familiar with and follow the Trusts and Directorates Health and Safety Policy and procedures and be aware of individual responsibilities under legislation. Bring management’s attention to potential or actual risk and complete Datix Incidents.
  • To abide by and work to COSHH Regulations at all times.
  • To be flexible and undertake any or all of the duties identified to undergo shift changes at short notice and to undertake any request given by a Senior Manager.
  • To ensure that a daily inspection is undertaken of the portering ambulance and the inspection checklist is completed accordingly
  • Responsible for the daily management of the porter request system and ensuring all equipment is returned at the end of each shift.
  • To undertake hospital site inspections throughout the shift, ensuring the hospital environment is clear of any hazards and the corridors are clear. 
  • Responsible for the day to day operational management of the medical gas cylinder stocks ensuring there are evidence based systems in place for key tasks such as ordering, stock control, cylinder rotation, storage and manual handling issues and application of regulators
  • Monitor the contract for the supply of medical gas and air cylinders including twice weekly check on cylinder stocks and the reporting of any deficiencies to the Gas Supplier

If successful this vacancy will require an enhanced DBS check at a cost of £41.90. This cost will be deducted from your first Trust salary

In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £13.

Education and Qualifications

Essential criteria
  • Good standard of secondary education or equivalent
  • Proven experience of operational word in the NHS, public or private sector
  • NVQ level 3 in Customer Service or equivalent relevent experience
  • Recognised qualification in management skills or equivalent experience gained at supervisory level
Desirable criteria
  • Basic Health and Safety qualification

Knowledge

Essential criteria
  • Knowledge of working in a large hospital organisation
  • Knowledge of health and safety techniques
  • Knowledge of Health and Safety and COSHH regualtions

Experience

Essential criteria
  • Proven experience as a Supervisor in a busy hospital enviroment or similar oraganisation, ideally within Portering
  • Experience of managing staff in relation to HR issues
  • Experience of using Microsoft Office programmes, including Word, Outlook and Excel
Desirable criteria
  • Experience of delivering training and programmes of change
