Job overview

The post predominantly provides the administrative support for the Children’s Respiratory Team, Children’s Epilepsy Team and Children’s Learning Disability Team.  Additional support with general office administration tasks may also be required for Paediatric Directorate.

 

The post holder will work closely with the nursing and clinical teams and receive direction and information from the Specialist Nurse Lead for each of those services (Paediatric Respiratory, Epilepsy and Learning Disability teams) in relation to the work and tasks.

 

The post holder will directly report to the Directorate Support Manager in relation to people management matters such as performance appraisal, training & development, and attendance management.

 

To provide an accurate and confidential secretarial/administrative support service.  This support will also include triage of telephone enquiries, data entry, typing of letters and completing supplies ordering.

 

The role includes other duties appropriate to the preparations for clinics.

 

To maintain office systems which contribute to the efficiency of the department.

Detailed job description and main responsibilities

  • Provide a full range of secretarial/administrative support duties to the Children’s Learning Disability Team. Children’s Respiratory Team and Children’s Epilepsy Team within Paediatric Directorate.
  • Receipt of incoming mail, telephone calls and e-mails.
  • Typing of reports, minutes, agendas, general correspondence, presentational material, etc.  Other administrative tasks as appropriate.
  • Arranging meetings, taking notes from meetings and drafting minutes.  Co-ordinating follow up action as required.
  • Maintenance of filing systems.
  • Photocopying and collation of documents.
  • Maintenance of databases in relation to Children’s Epilepsy and Children’s Respiratory and Learning Disability Teams.
  • Dealing with a variety of enquiries on behalf of senior staff, from a variety of sources and using initiative to deal with these enquiries in the absence of senior staff.
  • Liaise with Divisional Supplies Assistant with regard to ordering of stationery.
  • Responsibility for petty cash, banking of cheques and reimbursing funds appropriately.
  • Any other duties within the general scope and context of this post.
  • To undertake any other duties which is deemed appropriate to the grade when requested by Senior Staff.
  • The above indicates the main duties of the post which may be reviewed in the light of experience and development within the service.  Any review will be undertaken in conjunction with the postholder.

            If successful this vacancy will require a Standard DBS check at a cost of £26.50. This cost will be deducted from your first Trust salary

In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £16.
