Job overview

This is a full time position, 37.5 hours per week located within the Lung Cancer and Thoracic Surgery Directorate at Wythenshawe Hospital.

This will be suited to someone who possesses excellent communication skills and ideally has previous medical secretary experience. You will be organised and have the ability to work on your own initiative in a diverse and varied role. 

You would need good working knowledge of Microsoft office packages,  medical terminology, 18 week pathways, a strong commitment to personal development and teamwork are all preferred for this post.

Main duties of the job

Working with the Medical and Clinical Oncologists ensuring the workload is completed within a timely manner. 

  1. Sorting and distribution of mail both electronically and paper form, where appropriate.
  2. Word processing of letters and reports.
  3. Diary management and the arrangement of meetings, re-arranging where necessary.
  4. Maintaining departmental stationery stock and dealing with repair/maintenance of office equipment
  5. Dealing promptly with a wide range of enquiries from staff and patients, both orally and in writing, and communicating appropriately thereafter, flagging up to line manager unresolved issues/problems as they arise.
  6. Assisting with the introduction of new staff to office procedures and the use of office equipment.
  7. Assisting with the review of secretarial procedures within the department to continually improve service provision
  8. Booking follow-up appointments when required
  9. Taking and transcribing minutes at meetings if required, on occasions
  10. General clerical duties e.g. filing, photocopying, scanning, emailing
  11. Complying with the Data Protection Act and Caldicott Guidelines in relation to confidential data.
  12. Dealing with waiting list queries both Thoracic and Bronchoscopy 
  13. Booking of procedures and surgery's for Cancer patients and patients waiting diagnostics. 
  14. Dealing with external referrals and liaising with different hospitals and GPs
  15. Using multiple Systems to book patients.
  16. Assisting the waiting list team if required

Experience

  • At least one years previous secretarial/NHS experience
  • Proven experience of working to deadlines
