Job overview

The Greater Manchester Specialist Support Team works with autistic individuals and those with a learning disability who are at imminent risk of admission to hospital due to significant risk to self or others and individuals who may be at risk of placement breakdown or contact with the criminal justice system. 

An exciting opportunity has arisen for an Administrator to join our team.  You will lead the team administration work load, including supervisory responsibility for other administration team members. The role involves planning, prioritisation and allocation of key tasks, supporting the service to ensure safe and effective delivery of care. 

Main duties of the job

The Specialist Support Team provides a service to autistic people and people who have a learning disability, their families and carers working in a collaborative approach.  The post holder will support the multi-disciplinary team by undertaking administrative tasks associated with the service offer. This will include recording and storage of confidential information, gathering data, developing systems for monitoring and tracking, minute taking, preparing and setting up meetings and liaising with external partners. In addition the post holder will support procurement processes, maintaining office stock and provisions. 

The successful candidate will need to demonstrate skills and knowledge in the use of IT systems, Microsoft Word / Excel / Teams.

Detailed job description and main responsibilities

Provide an administrative service to the management team and clinicians within the Specialist Support Team. This will involve the receiving and prioritising of incoming work, redirecting where necessary.

Receive a variety of telephone calls on behalf of the Service Manager and Senior Practitioner using initiative, tact and discretion to deal with matters where possible, taking messages and re-directing calls as appropriate. Liaise with staff from external agencies and internal departments.

Ensure the Service Manager and Senior Practitioner have all relevant papers when attending meetings and ensure all paperwork pertaining to these meetings is available and filed for easy retrieval and reference.

Prepare papers and agendas for meetings as required. Attend and transcribe the minutes and distribute accordingly. Set deadlines for typing/checking the minutes and gathering agenda items to ensure timely distribution of paperwork.

Co-ordinate the arrangement of meetings for senior management and team members, both internally and externally.
