Job overview

An exciting opportunity has arisen for somebody with an experienced admin background to join the Thoracic Medicine/Respiratory Team at LUHFT.  The role will be based on the Aintree site. This role will support the Respiratory medics team in overseeing the Respiratory wards rota’s and oversee the rota for utilisation of outpatient clinic rooms for the Respiratory service.

The successful candidate must be able to undertake all administrative duties including diary management, managing/ making appointments, be well organised, plan their own workload and work on their own initiative working to strict deadlines, both individually and as part of the wider team. You will be expected to be a team player and cover for your colleagues during absences where appropriate.

Main duties of the job

To provide a comprehensive service as a rota coordinator to all respiratory inpatient and outpatient services as well as admin support for other speciality teams within the Respiratory service.

To manage and maintain 18 week pathways including tertiary referrals to external trusts and ensure these are accurately recorded on PAS system. Keep track of referrals to ensure patient is reviewed promptly. Check that new/follow up appointments are arranged in conjunction with Referral to Treat (RTT) patient pathway.

Detailed job description and main responsibilities

• The post holder will assist in the production of rosters, ensuring fairness and  quality across the rostered staff. 
 
• The post holder will be expected to review and maintain quality of rosters and  the Allocate Healthroster roster system. 
 
• The post holder will produce various reports from the systems in use within  the trust. 

• The post holder will co-ordinate the activities of the team- booking meeting  rooms etc and arranging meetings and events. 
 
• The post holder will gather information to be fed into the system from ESR as  each new area goes live and assist in the cleansing and verification of the  data. This may include verifying PIN numbers with the NMC and other  registration bodies. The post holder may be required to alert HR managers of  any governance issues encountered in the absence of senior team members.  
 
• The post holder would be required to deal with large amounts of data some of which would be of a sensitive nature e.g. payroll information, or sickness  absence.  
 
• To provide system admin logins on Employee Online/Allocate Me for general users and access to Healthroster for roster builders. 
 
• To provide general system maintenance ensuring high levels of accuracy. 
 
• To carry out testing of any future versions of the software used.

Qualifications

Essential criteria
  • Educated to GCSE/O Level standard/equivalent or higher
  • RSA/OCR Typing/Word processing Level 3 or equivalent
  • RSA/OCR Audio typing Skills Level 3
  • Knowledge of medical terminology
  • Secretarial Qualification or equivalent experience
Desirable criteria
  • ECDL or equivalent
  • Shorthand

Experience

Essential criteria
  • Excellent I.T. skills with knowledge and experience of all Microsoft office packages
  • Demonstrable experience working in an NHS office environment as a medical secretarial
