Job overview

The role of the Sleep laboratory Utilisation Co-ordinator, is to ensure all patients are scheduled a within the RTT national guidelines and ensure all referrals are actions and added to the correct waiting list.

The Sleep Service administration team consist of 8 staff who all work closely together to deliver the best service possible to all patients. The sleep service receives 7000 referrals per year and support 20,000 patients on active treatment for sleep apnoea. 

We are looking for an enthusiastic individual to join the Respiratory Directorate to work within the Sleep Service to effectively manage the Inpatient and Outpatient waiting lists.

You will need to have outstanding organisational and communication skills; work well with staff and the public, and must be able to demonstrate experience of working under pressure and to set deadlines

You will need a keen eye for detail, ensuring databases are accurately maintained and administration processes followed to meet the targets set by both the hospital and the government. Excellent telephone skills are essential as you will be in constant contact with both staff and patients within our services.

Main duties of the job

Clinical

  • Liaise with business units regarding patient totals and core clinic times, devise layouts for new clinic templates to ensure the smooth running of clinics.
  •  Mapping of clinics to Choose and Book and EPRO to enable the booking of appointments.
  • Addition of specialty procedure codes to new templates to enable clinical coding.
  • Mapping of clinics to enable partial booking. 
  • Be aware of data quality when transferring patients between templates with regards to RTT and DM01.
  • Extensions of clinic dates ensuring suspensions and cancellations are carried forward.
  • Work with minimum supervision in an organised, effective and efficient manner.

Communication

  • Liaise with other service users ensuring adequate resources are available to accommodate any changes made.
  • Deal with telephone and email enquiries in a timely manner
  • Communicate effectively, written and verbally at all levels
  • Communicate effectively, written and verbally with patients
