Divisional Administrator

Job overview

To work with the minimum of supervision in an organised, efficient manner in order to maximise the effective use of both their own time and that of managerial staff. 

To provide comprehensive administrative support to the Divisional Management Team.

Main duties of the job

1.    To be responsible for the maintenance, accuracy and quality of data.

2.    To provide administrative support for the offer of choice for future follow-up care program of work.

3.    To provide administration support to sub-specialty clinical leads in the maintenance of selected drug monitoring programs of work.

4.    To carry out general administrative duties, scanning, photocopying etc.

5.    To complete mandate forms as and when required at the instruction of the divisional coordinator.

6.    Booking of patient appointments for divisional in-house patient services 

7.    To collect and track medical case notes as and when required by the division.

8.    To liaise with the information team on the production of general reports for the division as needed.

9.    To input into the divisional database/spread sheets in a timely manner.

10.  To provide cover for colleagues during periods of leave

11.  To minute take for divisional meetings.

12.  Undertake any other duties which may reasonably be expected of the post holder to ensure the efficient running of the division in the absence of the divisional coordinator

Qualifications

Essential criteria
  • Educated to GCSE level or equivalent.
  • ECDL certificate or equivalent

Knowledge & Experience

Essential criteria
  • Previous ward or office work
  • Experience of working as part of a team
  • Experience of working to deadlines
  • Experience of working with / on computers
  • Experience of data inputting and data spread sheets
Desirable criteria
  • Previous experience of working in the NHS
  • Knowledge of NHS records tracking systems
